Events Manager / Events Producer - DFW Based

We are looking for a successful and enthusiastic DALLAS based Events Program Manager to create and produce meetings, incentives and events from conception through to completion. You will provide outstanding customer service and organize memorable events that meet quality expectations, draw new customers and enhance our current customers' experience.
This particular role is very operations driven. Proposals and event creation will be expected at times, but you’ll mostly work as a team with the Dallas Account Manager to fine tune the details of events that have been contracted. This includes duties such as maintaining timely communication with the client to ensure project alignment, developing detailed event deadlines, designing floor plans, hiring and managing onsite staff, managing all vendors and their contracts, overseeing all outgoing payments, management of flight manifests for transportation needs, and being onsite to manage the event.
Minimum 2 years of experience in leading meeting, incentive or event travel company or for a corporation where you planned and executed meetings, incentives and events.
Responsibilities:
- Responsible for the research, scheduling, booking and coordination of local area-based events and occasional out of the area destination events.
- Manage the project budgets to ensure the maximization of gross profitability
- Track key project milestones, and develop and execute against project plans and critical deadlines.
- Responsible for the execution of all event-related administration and reporting, including budget tracking, invoices, contracts, permitting, creative requests, internal status updates and distribution, presentation development, metrics tracking, etc.
- Develop relationships with client personnel that fosters long term client connections.
- Builds a knowledge base of each client’s business, organization, and objectives
- Experience of working within a demanding fast-paced environment to very high standards.
- Interacts with all customers at the events and provides top notch customer service daily.
- Manage production & design of all on-site meeting materials
- Produce, manage and circulate key communications e.g. weekly status reports to all key meeting stakeholders
- Travel on-site to conduct site inspections & undertake planning meetings with all suppliers, when required
- Plan, attend & execute project planning meetings - face to face, Teams and/or conference calls, where required
- Ensure client Business Owner and client stakeholder are up to date with all aspects of program planning arrangements throughout the course of the program
- Attend project debrief post event
- Manage & co-ordinate Client requirements with all 3rd party suppliers (Transportation companies, venues, freelance staffing, restaurants and menus, security, decor providers, etc.), where required
- Assist in managing supplier pricing, holds, releases and inventory offerings
- Submit accurate final reconciliation of events within agreed timelines
- Maintain good long-term relationships with hotels, venues and suppliers, to ensure the best value for money for clients
- Attend networking events and continuing education events
- Travel may be required, estimated no more than 20%
- Superior written and verbal communication skills
- Outstanding project management and time management skills, including the ability to work on multiple projects under sometimes demanding deadlines
- Build a rapport with key supplier contacts through client communication, social activities, etc. and contributing to new ideas and options for clients and including in templates
- Build creative proposals based on client requirements
- Ability to work flexible hours, and weekends, when required by the job/task (especially during peak times)
Requirements:
- Strong organizational skills with the ability to manage multiple responsibilities and events while maintaining high quality standards
- A strong knowledge of the events/meeting/incentive industry, including destinations, is preferred.
- Extensive PC skills and in-depth experience with office suite. (Outlook, Word, Excel, PowerPoint)
- Canva experience a plus but not required
- CVENT or registration platform experience a plus but not required
- Self-motivated go getter.
- Thorough understanding of Food & Beverage and BEOs
- Proven event management experience
- Experience with Cvent registration tool or comparable a plus
- Have a keen eye for detail, quality management, production experience, and multiple team coordination
- Strong budget management skills (excel knowledge a must)
- Ability to work with all levels from managers to CXO’s.
- Ability to simultaneously see the big picture and the minute details
- A strong attention to detail
- Strong contract and negotiation skills
