Responsibilities

  • Support Event Associates and Managers with all aspects of meeting planning and execution.
  • Oversee registration management, invitations, attendee communications, and test tech functionality.
  • Ensure data accuracy in registration systems, maintain RSVP lists, and handle inquiries.
  • Assist with venue research, catering, AV, logistics, packing and shipping materials, and promo items.
  • Coordinate speaker logistics, communications, and briefing materials.
  • Deliver excellent customer service and professional communication to internal and external stakeholders.
  • Plan and manage multiple tasks in a fast-paced environment with deadlines.
  • Assist with budgeting, approvals, and final accounting for events.
  • Adhere to operational procedures, contracts, invoicing, and approval processes.

Job description

Join our Commercial and Investment Banking (CIB) Strategic Event Marketing and Sponsorships team as an Events Management Analyst and play a vital role in delivering world-class events for employees and clients across the globe. You'll support every aspect of the event lifecycle-from registration and logistics to website content and on-site execution-while collaborating with planners, designers, and internal stakeholders including senior leaders. Your attention to detail, organizational skills, and commitment to client service will help drive seamless event experiences and reinforce our reputation for excellence in event management.

As an Events Management Analyst within the Commercial and Investment Bank (CIB) Strategic Event Marketing and Sponsorships team, you will support the event planning and execution process from end-to-end, including managing attendee communications and registration, coordinating speaker logistics and assisting in all elements of event production. You will collaborate with planners to deliver complex, high-impact events for employees and clients globally.

Job responsibilities
  • Support Event Associates and Managers with all aspects of meeting planning, ensuring seamless execution and client satisfaction.
  • Oversee registration management, including developing and distributing invitations and attendee communications and thoroughly testing the functionality of the system to ensure reliable technology performance.
  • Ensure accuracy of web registration data through reporting, editing, and tracking updates in the registration system, including maintaining RSVP lists and resolving any registration inquiries.
  • Assist with venue research and selection, catering, audiovisual requirements, data compilation, name badge and tent card production, packing and shipping travel-office boxes, and sourcing promotional products.
  • Coordinate speaker logistics, creating and delivering speaker communications, collating speaker information, building briefing templates and setting up prep calls.
  • Deliver exceptional customer service, demonstrating strong oral and written communication skills across all levels, including senior management.
  • Apply organizational, analytical, and problem-solving skills to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Handle event budgets, approvals, final accounting, and maintain attention to detail in all planning activities.
  • Adhere to events operational procedures and processes, managing compliance aspects for each event, contracts, invoice processing, and approval processes
  • Utilize Microsoft Office, with strong Excel (pivot tables), Word (mail merge), and PowerPoint presentations to support event operations.
  • Plan and execute industry sponsorships - function as liaison to vendors, industry conference planners and key stakeholders regarding booth requirements and set up, printing and delivery of collateral and gift items, managing JPM delegates, delivery of logos, firm profile and any other event-related requirements.
Required qualifications, capabilities and skills
  • 1+ years of experience in events or related field. Meeting planning industry knowledge or prior registration management experience.
  • Customer service oriented, consistently delivering a positive experience to clients and stakeholders.
  • Exceptional oral and written communication skills, with the ability to communicate clearly and professionally with internal and external stakeholders
  • Ability to interact professionally with all levels, including senior management.
  • Highly organized with strong analytical skills and proven problem-solving ability.
  • Strong time management skills to prioritize tasks and meet deadlines.
  • Ability to multi-task and manage competing priorities in a fast-paced environment.
  • Attention to detail and accuracy in all aspects of event planning and execution.
  • Travel to events and serve as on-site planner support - 15% travel as well as flexibility to work some early mornings and late evenings (as needed for events).
  • Excellent computer skills, including proficiency in Microsoft Office.
Preferred qualifications, capabilities and skills
  • Advanced Excel and Word skills, such as creating pivot tables and mail merge documents; ability to create PowerPoint presentations for internal meetings; proficiency with Copilot applications.
  • Familiarity with basic virtual event platforms and processes.
