Christ Church in Oak Brook, IL is seeking an Events and Kitchen Coordinator to support hospitality at church events and external rentals. The role works with the Events & Special Projects Director to coordinate food service, staffing and volunteers for gatherings ranging from small meetings to large conferences.

Qualifications

Summary of Position

This role helps Christ Church create a welcoming and hospitable experience for guests attending church events and external facility rentals. Working closely with the Events & Special Projects Director, this position coordinates event logistics, food service, staffing, and volunteer teams to ensure events run smoothly and effectively.

The role also provides key administrative support through responsibilities such as ordering supplies, processing billing, coordinating volunteers, and helping lead events. By managing day-to-day event operations and details, this position enables the Events & Special Projects Director to focus on organizational priorities, strategic planning, collaboration, and problem-solving.

Essential Functions
  1. Collaborate with the Events & Special Projects Director to assess, plan, and coordinate F&E service requirements for all church events and external rentals, ranging from staff meetings to conferences and events with more than 700 guests. Lead volunteer teams and oversee the execution of F&E services during events to ensure excellent hospitality and operational excellence.
  2. Assist Events & Special Projects Director with accounting, ordering, inventory management, and other administrative tasks
  3. Demonstrate a heart for hospitality for guests and participants in all Christ Church and outside rental event.
  4. Assist in planning and preparing menus and welcoming spaces for gatherings from 15-to over 500
Other Key Responsibilities
  • Program/Event Coordination and Logistical Support
    This function encompasses the comprehensive planning and execution of all departmental and organizational events, ensuring they run smoothly and align with the broader institution's goals. Key activities involve managing eventlogistics, coordinating necessary resources, and ensuring seamless collaboration across different departments.
  • Information and Records Management
    This vital function involvesmaintainingaccurate, organized, and accessible data systems. The assistantis responsible forinputting, updating, and managing organizational records and files—such as volunteer information, attendance data, and contact lists—to ensure data integrity and compliance with institutional procedures.
  • Communication and Scheduling Management
    This function focuses onfacilitatingeffective information flow and organizational efficiency. It includes managing the official calendars to prevent scheduling conflicts, prioritizing appointments, handling all inbound and outbound correspondence, and acting as the primary liaison on behalf of their supervisor or director.
  • Participate in Christ Church staff life by attending all-staff meetings, church sponsored events, worship, training events and contributing to a culture of collaboration and encouragement.
  • Support church-wide initiatives and special events – assist with Christmas, Easter, Mother’s Day services, outreach and mission events by serving in flexible roles beyond primary ministry responsibilities.
  • Engage in ongoing personal and professional development through training, reading, coaching or mentoring, to grow as a leader and servant of Christ.
  • Collaborate across ministries to ensure alignment, share resources, and strengthen unity on our staff teams.
  • Demonstrate and model Christ Church’s core values in daily work, relationships and service to others.

*All above are a part of the role, but limited due to minimal hours

Required Qualifications

Education: High School diploma

Preferred Qualifications

1-3 years | restaurant, catering or service industry with experience in large events.

  • Need food handler's certification

Physical Demands & Work Environment
  • Kitchen & food prep duties include lifting heavy objects (boxes, pots, coffee)
  • Knowledge and certification in food safety
  • Must be able to stand and move about the building for many hours during events and limited hours weekly for kitchen clean up and inventory management.
  • Works in both office, kitchen, and event setting
  • Needs own transportation to shop for and pick up food
  • Working knowledge of and ability to use kitchen equipment
