Make a Difference Through Events That Save Lives

Charleston Animal Society is seeking a highly organized, energetic, and mission-driven Event Coordinator & Administrative Assistant to support our Philanthropy and Marketing team. This role helps plan and execute impactful fundraising events while providing administrative support that advances our lifesaving mission.

Working closely with leadership and cross‑functional teams, this position plays a key role in delivering successful events that generate fundraising revenue.

Pay:

From $40,000.00 per year

Key Responsibilities: Signature Event Coordination
  • Assist with planning and execution of signature fundraising events: Applause for Paws Gala, Paws in the Park, Lifesaver’s Luncheon
  • Coordinate logistics, vendors, timelines, and event details.
  • Support budget tracking, contracts, invoices, and RFP processes.
  • Manage silent auction operations, including tracking donations, item descriptions, photography, and auction software.
  • Provide administrative support to event committees.
  • Serve as Day‑of Event Coordinator for the Lifesaver’s Luncheon.
Third-Party & Community Events
  • Coordinate smaller fundraising, adoption, and volunteer events.
  • Serve as primary contact for community event inquiries and scheduling.
  • Track event outcomes and support volunteer‑led initiatives.
Administrative Support
  • Manage RSVPs and logistics for Behind the Scenes tours.
  • Coordinate meetings, calendars, agendas, and follow‑up communications.
  • Provide donor data entry, reporting, and survey support.
  • Assist Marketing with promotional materials and annual updates.
Qualifications
  • 3–5 years of experience in event coordination, administrative support, marketing, or nonprofit operations preferred.
  • Associate’s or Bachelor’s degree preferred.
  • Strong organizational, communication, and project management skills.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Proficiency in Microsoft Office; donor database experience (Raiser’s Edge or similar) preferred. Adobe Photoshop and Illustrator is a plus.
  • Ability to work occasional evenings and weekends for events.
  • Pre‑employment drug test and background check required.
