Qualifications

Position: Events Coordinator

Department: Strategy Team - Events and Training

Reporting to: VP of Events

Location: Topeka, KS - Onsite


Overview:

The Events Team at Advisor's Excel is looking for an Events Coordinator. If you have experience planning events, are excited to work with a fast-paced and innovative team, and are passionate about creating excellent experiences, this might be the role for you!

As Events Coordinator, you will support the Events Team with planning and executing events both in-house and virtually. You will also oversee frequent advisor office visits. This position requires detail-orientation, spot-on organization, and adaptability to ensure events run smoothly and "wow" our clients.


What you'll do:


  • Manage the coordination of advisor visits to include travel and lodging arrangements, gifting, and experiences

  • Assist the Events Team in managing the details of all assigned events (ranging from 40-200 attendees), which may include assistance with development of invitations and registration, agenda building and coordination, event setup and layout, lodging and travel coordination, event check-in and event tracking

  • Help coordinate all aspects of event execution with designated facilities including, but not limited to, operations, spacing and offsite vendors, staffing and other activities directed by Event and Program Managers and VP of Events

  • Organize and build virtual training events in conjunction with the Program Coordinator for all virtual programs - which may include invitation list building, onsite registration and communication with internal teams and attendees

  • Assist with information management related to events, including event registrations and payment processing, creating, and formatting documents and financial submissions

  • Manage and control inventory of events supplies; conduct periodic and annual inventory of supplies; recommend replacement of supplies as required


Experience you'll bring:


  • One-year experience in event planning or coordination

  • Solid organizational, time management and problem-solving skills and the ability to work accurately and meet deadlines with frequent interruptions

  • Confident, professional, and articulate in written and verbal communication; ability to build a rapport with all personality types and all levels of staff

  • Positive attitude and willingness to go above and beyond in providing customer service to agents, their support staff, and to managing vendor relationships

  • Strong knowledge of MS Office, including Work, Excel, and Outlook
