Job summary

A leading trade association is seeking an Event Sponsorship Specialist to manage sponsorships across events. AFPM employees combine both in-office and remote work into their schedules using up to 6 remote workdays a month. Only local candidates will be considered at this time.

American Fuel & Petrochemical Manufacturers (AFPM) is a dynamic trade association representing high-tech American manufacturers of virtually the entire U.S. supply of gasoline, diesel, jet fuel, other fuels, and home heating oil, as well as the petrochemicals used as building blocks for thousands of vital products in daily life. AFPM brings together staff, members, affiliates, and thought leaders at major conventions and smaller gatherings, both virtual and in-person, throughout the year.

As we continue to grow and expand our reach, we are excited to announce an opening for an Event Sponsorship Specialist to join our Convention Services team. The Specialist will focus on sponsorship, including identifying and cultivating sponsorship opportunities, managing sponsor relationships, and ensuring the successful execution of sponsorship agreements across all AFPM events. Candidates with experience utilizing iMIS software are highly preferred.

Responsibilities
  • Supports the work of the Manager, Convention Services and the Convention Services department including administrative, logistical, organizational and coordinative support.
  • Helps identify, solicit and secure meeting and event sponsors, and manage incoming sponsorship inquiries for all AFPM meetings.
  • Assists in the development of meeting-specific sponsorship brochures, associated marketing materials, and email communications for sponsorship solicitation and outreach.
  • Initiates and maintains positive and professional relationships with existing sponsors, prospective sponsors, and AFPM members through exceptional communication, positive relationship building, and attending AFPM meetings.
  • Helps manage the fulfillment of sponsor benefits in coordination with Manager, Convention Services prior to, during and after events, including coordination of sponsor timelines, programmatic placement and collection of company collateral.
  • Ensures sponsor promotion and recognition communication and activities are approved, accurate, and distributed across various mediums in a timely manner.
  • Communicates and collaborates with AFPM colleagues within the Convention Services department and cross-departmentally to ensure sponsorship quality standards and process consistency are maintained.
  • Keeps key internal stakeholders abreast of sponsorship status for all AFPM events.
  • Tracks sponsorship participation, evaluates results against goals, and generates recommendations for improvement.
  • Maintains organized records of all documents related to sponsor involvement.
  • Other ad hoc duties as requested.
Qualifications
  • Bachelor’s degree in a related field, or commensurate experience, course of study and/or certification.
  • Minimum of 2 years’ experience in meetings, conventions, events, registration, audio-visual and/or sponsorships support preferably at a trade association or membership organization.
  • Strong organizational, coordinative and administrative skills.
  • Strong verbal and written communication skills, and strong interpersonal and relationship-building skills.
  • Preference and ability to work as part of a team and collaboratively across an organization.
  • Proficiency in all Microsoft Suite applications and iMIS preferred, and/or experience in or the ability to learn to utilize a customer management system or other membership database.
  • Ability to manage multiple priorities with flexibility, confidentiality and professionalism in a deadline-driven environment.
  • Ability to travel to multiple AFPM meetings each year; 10% travel anticipated.
Salary and Benefits

Salary at AFPM is determined by various factors, including the individual’s education, knowledge, skills, competencies, and experience. The projected compensation range for this position is $65,000.00 to $85,000.00 (annualized).

The estimate displayed represents the typical salary range for this position and is just one component of AFPM’s total compensation package for employees.
