Job summary

Greystar Worldwide, LLC is seeking a part-time Leasing Administrative Assistant to support our property management team at the Laredo community. You will handle leasing office tasks, from rent processing to resident communications, to help occupancy and retention goals.

The role requires a High School diploma or equivalent, university enrollment, and at least 10 hours per week. Strong communication, attention to detail, and the ability to work independently or with a team are essential.

  • Must be enrolled in a local university and be in good academic standing.
  • Available to work a minimum of 10 hours per week.

Responsibilities

  • Performs administrative tasks for the leasing office including copying documents, filing resident files, preparing notices, handling resident calls, and organizing rent payments and other collateral materials.
  • Assists with sales and leasing activities to achieve the property’s revenue and occupancy goals by conducting virtual tours, responding to online inquiries, greeting and qualifying prospects, conducting property tours, and showing apartments.
  • Assists with the lease preparation process by generating all required lease paperwork and organizing resident lease files.
  • Assists with move in and move out process for residents; mandatory move-in/move-outs dates; time off requests require written manager approval.
  • Performs on-campus marketing outreach to generate community awareness and qualified traffic.
  • Assists with planning, set-up, execution, and tear-down of resident functions to achieve resident satisfaction goals.
  • Distributes notices such as flyers, newsletters, surveys, and late notices.
  • Responds promptly to resident concerns and routes requests to appropriate staff.

JOB DESCRIPTION SUMMARY

This role works with and supports the team of property management professionals in achieving occupancy and retention goals by performing administrative tasks related to leasing, marketing, and customer service at the community.

KEY RESPONSIBILITIES
  • Performs administrative tasks for the leasing office including but not limited to: copying documents, filing resident files, preparing notices, handling resident calls, and organizing rent payments and other collateral materials.
  • Assists with sales and leasing activities to achieve the property’s revenue and occupancy goals by conducting virtual tours, responding to online inquiries, greeting and qualifying prospects, conducting property tours, and showing apartments.
  • Assists with the lease preparation process by generating all required lease paperwork and organizing resident lease files.
  • Assists with move in and move out process for residents; commits to working move-in and move-outs with the understanding that these events, along with “turn”, are mandatory work dates. Any time off during these dates will be considered an exception and must be requested and approved in writing by the Community Manager well in advance.
  • Performs on-campus marketing outreach to generate Community awareness and qualified traffic.
  • Assists with planning, set-up, execution, and tear-down of resident functions, including parties, birthday cards, unit visits, and other programs to achieve resident satisfaction goals.
  • Distributes notices such as flyers, newsletters, resident surveys, and late notices.
  • Responds quickly and courteously to resident concerns and questions and takes prompt action to solve problems and/or document and convey resident or other requests to the appropriate individual(s).
BASIC KNOWLEDGE & QUALIFICATIONS
  • HighSchool diploma or equivalent, and some related work experience preferred.
  • Must be enrolled in a local university and be in good academic standing.
  • Must be available to work a minimum of 10 hours per week.
  • Compassionate and diplomatic with excellent written and verbal communication skills.
  • Detail-oriented and self-motivated with the ability to work independently and a collaborative member of a team.
SPECIALIZED SKILLS
  • Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs in order to complete required reports and documents.
  • Demonstrated experience building collaborative partnerships with faculty, administrators, students, parents/families, and campus and/or business partners.
TRAVEL / PHYSICAL DEMANDS
  • Team members work in an office environment but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. Incumbents must be able to physically access all exterior and interior parts of the property and amenities.
  • Routine, local travel may be required between assigned areas and other facilities.
  • Rare or occasional travel may be required to attend business meetings, training programs, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
Additional Compensation

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.
  • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
