POSITION OVERVIEW
Faena Rose produces 80+ events per year for a private and exclusive high-net-worth patron community. This role owns full production execution for every event — from BEO to floorplan to final debrief — and leads the on-the-ground team that makes it happen. It is not a programming or curatorial role: creative direction and event concepts come from our programming team. This role takes a confirmed event and delivers it flawlessly, on budget, and fully documented, while managing the people who make it happen.
This is a high-volume, high-pressure, roll-up-your-sleeves, lead-by-example role. You will be at most events in person, managing your team's schedule, solving problems on the spot, and holding the production standard that has made Faena Rose's venue and vendor relationships work for the last decade.
You will be the go-to execution lead across all 80 events a year — the person the production team looks to for direction on-site, and the person executive leadership looks to for a clear, timely read on what needs their decision or attention to make each event land.
REPORTING STRUCTURE & KEY PARTNERSHIPS
- Reports to: Senior Manager of Production Planning and the GM
- Direct reports: 1-2
- Key collaborators: General Manager, Marketing Manager, Member Relations Team, Financial Controller, in-house & third-party Special Events and Banquet teams, Faena Hotel department managers and outlet teams
- Budget Authority: Owns budget and expense tracking per event, within department guidelines
SUCCESS METRICS
- Member & patron event feedback: Average score of 9 or above per event
- Budget discipline: Manage 5-figure spend per event; stay within approved budget
- Project management hygiene: Zero overdue tasks in ClickUp per event
- BEO management: Proper creation, management, and on-time submission for every event
- Venue & vendor relationships: Successful, professional stewardship of hotel and venue outlet relationships as a representative of Faena and Faena Rose
- Documentation: Complete event briefs and debriefs across all events (up to 80/year)
DUTIES AND RESPONSIBILITIES
- Full-cycle event production: Own every detail of cultural and conference event production, start to finish — from initial build-up through on-site execution to full teardown
- BEOs: Create, manage, and submit Banquet Event Orders for approval and execution
- Floorplans & run-of-show: Build and manage floorplans, run-of-show documents, and all logistics-related planning
- Lighting, AV & camera crews: Direct and coordinate lighting, AV, and camera/production crews on-site to ensure every event is properly produced and captured
- VIP talent & high-profile speakers: Manage the on-site experience for VIP talent and high-profile speakers with the discretion, polish, and responsiveness the moment requires
- Equipment & storage management: Own equipment upkeep and inventory between events, and manage production storage so gear is ready, accounted for, and in good condition
- Cross-outlet coordination: Coordinate directly with Faena Hotel department managers and team members from other outlets on all of the above — space, timing, equipment, and staffing
- Budget & expense tracking: Track budget and expenses per event, keeping spend on target and fully reconciled
- Venue & vendor relationships: Book event venues (in-house and off-site), and source, manage, and maintain relationships with third-party vendors — representing Faena and Faena Rose's standard in every interaction
- On-site execution: Be present for the majority of events, leading load-in, load-out, and real-time problem-solving with calm, composure, and sound judgment
- Talent logistics: Book talent travel, accommodations, and car service; manage post-event thank-you gifts
- Executive communication: Brief executive leadership clearly and proactively on the key event components that need their decision or attention — flagging risks early, not after they become problems
- Documentation: Maintain complete, well-organized event briefs and debriefs for every event — up to 80 per year
- Project management discipline: Keep ClickUp fully current per event, with zero overdue tasks
- Cross-functional support: Collaborate with Marketing on the communications calendar and event promotion across platforms
- Team leadership: Manage and schedule 1–2 Production Assistants across up to 80 events per year, ensuring coverage, clear task ownership, and consistent standards on-site
SKILLS & ABILITIES & Qualificiations
- Calm, decisive problem-solver under real-time pressure — this is a doer role, not a delegator-only role
- 5+ years in event production, with direct experience owning BEOs, floorplans, and run-of-show documents end to end
- Proven experience managing people — scheduling, delegating, and holding a production team accountable in a live, high-pressure environment
- Hands-on experience in both cultural/social event production and conference/meeting production
- Working knowledge of lighting and AV production, and experience working with camera/content production crews on-site
- Direct experience managing logistics and on-site experience for VIP talent or high-profile speakers
- Experience owning equipment and storage management between events
- Financially literate — comfortable owning budget tracking and expense reconciliation per event, not just following a budget someone else built
- Strong communicator across two very different audiences: hands-on direction for the production team, and clear, concise briefings for executive leadership on what needs their decision
- Flexible schedule — evenings, weekends, and holidays as the event calendar requires; presence at the majority of events is expected
- Preferred: Top Luxury hotel or high-end hospitality event experience
- Preferred:Prior people-management experience in a hospitality or production environment
- Preferred: Familiarity with PeopleVine or similar CRM platforms
- Preferred: Proficiency with ClickUp or comparable project management tools
PHYSICAL REQUIREMENTS
- This is a doer execution role that moves between venues and involves packing and unpacking with the production team at large.
- Ability to move safely on uneven terrain or in confined spaces
- Ability to see and respond to dangerous situations
- Ability to remain in a stationary position for 8 hours or more
- Ability to lift or carry up to 40 lbs
