Event Planner / Travel Assistant

Team Overview:

This role will work for a successful entrepreneur based out of New York City. The role is a work-from-home, on-call position responsible for travel, event management, and concierge-related tasks. The role does not include executive assistant or household management work, which are handled by others.

Position Overview:

The is a full-time, dual role position responsible for booking and monitoring all travel and planning events for a single, successful entrepreneur based in NYC. The position is work from home, but requires being located in NYC to be on-site for all events.

  • Double-book restaurant reservations on Thu, Fri, and Sat for the principal.
  • Network with hostesses at the best restaurants to ensure ideal bookings

Travel-related tasks:

  • Book all travel for principal
  • Research best hotels, flight options, and restaurants in each location
  • Stay in the know of the best and highest rated restaurants, resorts and events around the world.
  • When the principal is traveling (approx. 25% of the time) without a group, be on-call (even if the principal is in international time zones) and always “call ahead” for every component of the itinerary. For example, before a driver meets the principal, call ahead to make sure they are on time. Before the principal arrives at the hotel, call ahead to check him in
  • When principal is traveling with a group (see below), fly-in before to review house and be on-site to act as House Manager
  • Set up the property to the principal's liking, oversee the hired staff to ensure the highest quality of service is provided.

Event management responsibilities:

  • Plan recurring events for the principal, as well as coordinating all guest travel, including:
  • House rentals each year, including coordinating large groups of ~15 people, each for Coachella, New Years, and 1-2 other destinations
  • Annual birthday trip
  • For villa rentals, generate different concepts to plan approximately one theme party each month, at a new location in NYC, including DJ, magician/dancers, etc., for approximately 50 people

Requirements or Skill Sets:

  • 5+ years working as a travel coordinator or concierge for high-end clientele
  • Always-on, 24x7 mentality. Will be required to work off hours when principal is traveling or overseas
  • Financially astute, comfortable with budgeting, using spreadsheets, and assessing costs
  • Cost-conscious - spend money wisely and within budget
  • Good with technology. Comfortable communicating via email and Slack, using Google Docs, and spreadsheets
  • Comfortable working in a fast-paced environment and managing an ever-changing schedule.
  • Team player but take charge when the situation commands it
  • Goal-oriented with a ‘can do attitude’
