Automation Alley is seeking an organized, driven, and experienced event professional to lead the planning and execution of events across the organization. This position will serve as the organization’s lead for event management and logistics, overseeing multiple large- and small-scale events throughout the year.
As a key member of the Operations team, this position will manage conferences, workshops, networking events, member events, program-related gatherings, and events hosted at Automation Alley’s facilities and off-site. The role is responsible for all aspects of event logistics and operations, from initial planning through onsite execution and post-event follow-up.
The ideal candidate is detail-oriented, highly organized, an excellent communicator, and comfortable managing multiple events, deadlines, budgets, vendors, and stakeholders simultaneously. This individual will work closely with teams across the organization to ensure every event is professionally executed and provides a high-quality experience for attendees, members, sponsors, partners, and guests.
This is a full-time, hybrid position based in Troy, Michigan, with a salary range of $65,000–$70,000. Standard business hours are Monday through Friday, 8:30 a.m.–5:00 p.m. Periodic travel and occasional early morning or evening availability are required based on the event schedule.
Duties and Responsibilities
Event Management and Logistics
- Serve as Automation Alley’s organizational lead for event planning, management, logistics, and execution.
- Plan and execute conferences, workshops, receptions, networking events, member events, program-related gatherings, and other organizational events.
- Manage events held at Automation Alley’s facilities as well as events hosted at external venues.
- Develop and manage event plans, timelines, budgets, staffing needs, vendor relationships, and day-of schedules.
- Lead all event logistics, including venue coordination, catering, audiovisual needs, room layouts, equipment, transportation, setup, onsite execution, and teardown.
- Serve as the primary point of contact for venues, vendors, caterers, audiovisual providers, speakers, sponsors, partners, members, and other event stakeholders.
- Coordinate across internal departments to establish event goals, responsibilities, deadlines, and deliverables.
- Collaborate with the Marketing team on event branding, promotional timelines, registration communications, signage, printed materials, and other event-related needs.
- Manage event contracts, memorandums of understanding, sponsorship agreements, and vendor agreements from initial drafting through execution.
- Manage event registrations and attendee communications through Zoho CRM and other event management platforms.
- Create, update, and maintain event listings that populate Automation Alley’s public website and event calendar.
- Maintain accurate event records, registration data, budgets, contracts, and supporting documentation.
- Track and report on attendance, engagement, expenses, revenue, attendee feedback, and other event performance metrics.
- Prepare regular status updates, dashboards, and post-event reports for internal leadership.
- Identify opportunities to strengthen event processes, improve the attendee experience, and increase operational efficiency across the organization.

Requirements
- Three or more years of experience in event management, conference planning, or event operations.
- Willingness and ability to travel to trade shows and industry events as required.
- Proven ability to manage multiple projects, deadlines, and external partners simultaneously.
- Experience working with contracts, vendors, sponsors, and partner agreements.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Collaborative team player with a proactive, problem-solving mindset who thrives in a fast-paced environment.
- Strong quantitative and analytical skills, with the ability to track metrics and produce clear reports.
- Experience in the nonprofit or manufacturing ecosystem preferred
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint).
- Experience using project management tools such as Trello or similar platforms.
- Experience using CRM or event management systems such as Zoho CRM or similar platforms.
