Job summary

The Event Manager will assist the Sales Team with daily business logistics, tasks and responsibilities associated with the successful execution of all events. Also, performs select administrative functions as needed for the overall needs within the Sales department.

This is a full-time, year-round position with a flexible schedule including weekends and evenings. The schedule will be determined each week based on the event schedule and appointments confirmed.

Qualifications

  • High school education with hospitality management or related coursework; 2+ years of related experience preferred.
  • Strong verbal and written communication; excellent organizational and time management skills.
  • Familiarity with hospitality industry practices and ability to multi-task in a fast-paced environment.

Responsibilities

  • Assist Catering and Group Sales Executives with event tasks and agendas.
  • Process group needs and create Banquet Event Orders (BEOs) with event specifics.
  • Manage room reservations, rooming lists, and rate building to maintain sales timelines.
  • Support attendance at trade shows and promotional activities as needed.
  • Relay event details to clients and internal teams via mail, email, and phone.
  • Participate in event setup and execution; monitor customer needs and communicate with departments.

Job description

The Event Manager will assist the Sales Team with daily business logistics, tasks and responsibilities associated with the successful execution of all events. Also, performs select administrative functions as needed for the overall needs within the Sales department.

Complies with all guest service basics, such as uniforms, name tags, and proper guest greetings. Knowledgeable about hotel facilities and services to assist guests as appropriate. Ensures all communication containing Company, hotel, brand, and guest information is consistent with privacy policies, practices, and regulations. Strives to exceed guest expectations with quality and timely service in a pleasant and friendly manner.

This is a full-time, year-round position. Must be able to work a flexible schedule with weekends and evenings a must. The schedule will be determined each week depending on the event schedule and appointments confirmed.

DUTIES AND RESPONSIBILITIES:
  • Works alongside the Catering and Group Sales Executives, following their task-oriented agendas.
  • Works with Catering and Group Sales Executives to process all group needs.
  • Utilizes direct mail, email, and phone interactions when necessary to assist in relaying critical information to team members, other departments or the client as needed.
  • Works with Catering and Group Sales Executives and clients to secure pertinent information needed to create Banquet Event Orders (BEOs), outlining event specifics, for all events.
  • Processes room reservation requests as needed.
  • Procures, enters and maintains all rooming lists for events.
  • Builds rates as needed to maintain proper sales timelines.
  • Assists in industry-related trade shows and participates in promotional activities, as needed.
  • Represents The Lake Estate while attending trade shows or other networking opportunities, as needed.
  • Attend weekly Food and Beverage meetings to relay all details of upcoming events.
  • Monitors and communicates customer needs to other departments and is aware of upcoming events and/or groups in-house.
  • Assists in the event setup and execution of all events.
EDUCATION & SKILLS:
  • High school education plus schooling in hospitality management, business, or related experience. Two or more years of related experience. Familiarity with hospitality industry practices preferred.
  • Strong attention to detail. Excellent Communication skills – both verbal and written required. Excellent organizational and time management skills are required. Thorough understanding of the sales process. Aptitude in Delphi, Maestro, Outlook, Excel and Word is preferred.
  • Ability to work well as a team and individually to meet the goals of the department. Ability to multi-task in a fast-paced environment. Be enthusiastic and passionate about the hospitality and event industry.
  • Present and always conduct themselves professionally. Possess highly developed customer service skills with strong attention to detail. Maintain positive interactions and communicate effectively with the public, event and transient guests.
  • Have experience in the hospitality industry and be knowledgeable about the operations of a hotel. Help to create and promote a professional and comfortable working environment.
  • While performing job duties, the associate speaks, listens, completes documents, processes requests, and operates office equipment such as a telephone, calculator, computer, copier, and fax.
  • Physical requirements include extended periods of standing and/or walking, bending, reaching, pulling, pushing, kneeling, and lifting up to 50 pounds. The job requires close vision with or without corrective lenses. This position may be required to operate a motor vehicle.
