Job summary

Picklewood in Seattle is seeking an Event Coordinator obsessed with hospitality to turn great ideas into memorable guest experiences. You’ll own the event journey from first conversation to day-of execution, coordinating timelines, venues, food, staffing, and guest communications to ensure every detail feels organized, personal, and fun.

You’ll build community relationships, follow up with past clients, and spot new opportunities to bring groups through our doors.

Qualifications

  • Experience in events, hospitality, venues, or guest-facing environments.
  • Strong communication skills with clients, guests, partners and team members.
  • Highly organized with ability to manage multiple events, deadlines and details.

Responsibilities

  • Own the event experience: be a primary contact from first convo through follow-up.
  • Plan every play: coordinate timelines, court usage, food/bev, staffing, rentals and signage.
  • Make game day seamless: be present during events, welcome hosts and guests, manage timing, adjust in real time.
  • Create reasons to come to Picklewood: develop internal event calendar and diverse experiences.
  • Make internal events feel like events: bring energy to programming.
  • Keep everyone in the rally: communicate details across departments.
  • Bring Picklewood to life: highlight pickleball, food, drinks, and social experiences.
  • Create the fun: coordinate tournaments, social play and activities.
  • Keep the details organized: maintain guest counts, timelines, payments, and follow-ups in systems.
  • Help grow the business: support outbound event sales and community outreach.
  • Turn one event into the next: build relationships and seek repeat business.
  • Net every detail: anticipate problems, keep spaces clean and ready.
