Job summary

Picklewood in Seattle is seeking an Event Coordinator obsessed with hospitality to turn great ideas into memorable guest experiences. You’ll own the event journey from first conversation to day-of execution, coordinating timelines, venues, food, staffing, and guest communications to ensure every detail feels organized, personal, and fun.

You’ll build community relationships, follow up with past clients, and spot new opportunities to bring groups through our doors.

Responsibilities

  • Own the event experience: be a primary contact from first convo through follow-up.

We’re looking for an Event Coordinator who’s obsessed with hospitality, bringing people together, and turning a great event idea into an even better guest experience.

At Picklewood, events are a big part of what we do. From corporate outings and private celebrations to tournaments, watch parties, themed events, and Picklewood-created experiences, you’ll help make Picklewood a place where there’s always something happening.

You’ll help take events from the first conversation through the final paddle swing—planning, communicating, coordinating, executing, and following up to make sure every event feels organized, personal, and fun.

You’ll also help grow our event business by building relationships in the community, following up with past clients, and identifying new opportunities to bring groups through our doors.

What You’ll Do
  • Own the event experience: Be a primary point of contact for event hosts, helping guide them from their first conversation through event day and follow-up.
  • Plan every play: Coordinate timelines, court usage, food and beverage, staffing, rentals, programming, signage, special requests, and all the details that bring an event together.
  • Make game day seamless: Be a visible, hands-on presence during events. Welcome hosts and guests, manage timing, communicate with the team, and make adjustments in real time.
  • Create reasons to come to Picklewood: Help develop and execute our internal event calendar, including tournaments, themed events, watch parties, social events, holiday programming, and other Picklewood-created experiences.
  • Make internal events feel like events: Bring creativity, energy, and personality to our programming so events feel intentional, exciting, and worth showing up for.
  • Keep everyone in the rally: Communicate event details clearly with Front Desk, Floor, Bar, Kitchen, Coaches, and Management so everyone knows the game plan before guests arrive.
  • Bring Picklewood to life: Help clients create experiences that take advantage of the whole club—pickleball, food, drinks, competition, socializing, and everything in between.
  • Create the fun: Help coordinate tournament formats, social play, team competitions, and activities that keep groups engaged regardless of their pickleball experience.
  • Keep the details organized: Maintain accurate event information, guest counts, timelines, payments, special requests, and follow-ups in our event and booking systems.
  • Help grow the business: Support outbound event sales through community outreach, networking, referrals, past-client follow-up, and relationships with local businesses and organizations.
  • Turn one event into the next one: Build relationships with hosts and guests, recognize opportunities for repeat business, and help keep Picklewood top of mind for their next event.
  • Net every detail: Anticipate problems, solve them before they affect the guest, and make sure event spaces are clean, organized, properly set, and ready to go.
Internal Events

Part of this role is helping us create great events of our own.

You’ll work with the Picklewood team to develop and execute an event calendar that gives the community more reasons to come through our doors—from tournaments and watch parties to seasonal celebrations, social events, and ideas we haven’t thought of yet.

We want someone who can help take an idea from “That could be fun” to a well-organized event people actually want to attend.

Growing Our Event Business

Most of your focus will be on creating and executing great events—but great experiences should also lead to the next opportunity.

You’ll help maintain relationships with past clients, respond to new opportunities, connect with local businesses and organizations, participate in community networking, and introduce new groups to Picklewood.

You should be comfortable talking about what we offer and helping turn the right opportunities into booked events.

You don’t need to be a full-time salesperson. You do need to recognize an opportunity when you see one.
Hospitality First

You don’t need to be the best pickleball player in the building.

You need to know how to create a great experience.

Hospitality is in the details—the way a group is welcomed, knowing the host’s name before they walk through the door, having everything set before anyone asks, reading the room, and knowing when the plan needs to change.

You should be comfortable around pickleball and excited to learn more about the game, but your ability to connect with people, stay organized, communicate, and execute an experience matters more than your DUPR.

What We’re Looking For
  • Commitment to delivering exceptional guest experiences through hospitality, organization, and teamwork.
  • Experience in events, hospitality, restaurants, catering, venues, recreation, or another guest-facing environment.
  • Strong communication skills with clients, guests, community partners, vendors, team members, and leadership.
  • Highly organized and able to manage multiple events, deadlines, and details simultaneously.
  • Creativity and enthusiasm for developing internal events and programming.
  • Comfortable conducting tours, discussing event options, and helping clients build the right experience for their group.
  • Comfortable with relationship building, networking, follow-up, and supporting outbound event sales.
  • Ability to stay calm, adaptable, and solutions-focused when plans change.
  • Comfortable directing teams and clearly communicating event expectations across departments.
  • A hands‑on mentality—you’re willing to set up, break down, move things, solve problems, and jump in wherever the event needs you.
  • Strong attention to detail without losing sight of the overall guest experience.
  • Comfortable learning event management, booking, POS, and club software.
  • Basic pickleball knowledge is a plus; enthusiasm for learning the game is required.
  • Genuine enthusiasm for hospitality, people, events, and creating memorable experiences.
Must Haves
  • Must be 18 years of age or older.
  • Must be available to work nights and weekends.
  • Must have reliable and consistent availability during peak event times.
  • Must be punctual, dependable, and comfortable working a schedule that changes based on events and business needs.
  • Must be comfortable being on your feet and actively working throughout events.
