Position Summary
Turn It Up is seeking an organized, hard working, and detail-oriented Event Coordinator to manage the planning, logistics, and scheduling of regional and national dance competitions and conventions. This role is critical in ensuring the seamless execution of events from pre-event coordination to on-site operations, with a focus on timelines, competitor scheduling, and venue logistics while maintaining the highest level of customer service.
Key Responsibilities
- Coordinate with venues, vendors, colleagues, and event staff to ensure all logistics are secured.
- Manage event budgets and timelines, ensuring events stay on schedule and within financial targets.
- Maintain clear, professional communication in a timely manner with clients, event staff, colleagues, and business contacts via email, phone, and digital platforms
- Manage all post event items including but not limited to payments, allocation of receipts, event feedback, etc.
- Utilize scheduling software to create and maintain detailed competition schedules while ensuring compliance with competition rules, time constraints, and venue restrictions.
- Serve as the primary point of contact for registered clients regarding scheduling and event details.
- Distribute final schedules and important event updates to venue contacts, registered clients, and event staff.
- Assist in the daily operations necessary to prepare for large scale events as needed including but not limited to packing road cases, loading, and unloading trucks.
Required Qualifications
- Bachelor's degree in hospitality, business management, marketing or a related field.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Adaptable and flexible, able to adjust to shifting priorities.
- Excellent written and verbal communication skills.
- Team player with the ability to collaborate and lead effectively in high-energy situations.
- Strong problem-solving skills with the ability to respond quickly to business contacts, clients, and colleagues.
- Proficiency with Microsoft Office Suite (Word, Excel, Sharepoint, etc.)
- Ability to lift 50 lbs.
- Flexibility to work evenings, weekends, and travel for events as required.
Preferred Qualifications
- 1-3 years of experience in event planning, coordination or logistics.
- Knowledge of or previous experience in the competitive dance industry
