Job summary

Main Event in Warrenville, IL is seeking a part-time Event Coordinator to support the Sales team with administrative tasks, RFPs, site tours, and event coordination.

You will handle paperwork, follow up on payments, update BEOs, and seek upsell opportunities while delivering friendly, professional service to guests and internal teams.

Responsibilities

• Go above & beyond to meet the needs of each Special Events Guest and update contracts accordingly.
• Take RFPs and calls for social events and convert them to closed business.
• Conduct site tours as needed.
• Ensure accurate and prompt distribution of all paperwork for pop up parties with management support.
• Provide administrative support to the Sales Department, follow up on calls/emails/tasks after sale is closed won; inform Operations of changes to BEOs or contracts.
• Follow up on ARs, collect payment information, and close balances.
• Submit check requests and invoices as needed.
• Ensure Operations has the most up-to-date BEO for each event.
• Offer upsell opportunities to Event Hosts after sale is closed won.
• Other duties as assigned.

Without this critical role, our efforts to provide “unreasonable hospitality” would be impossible. The Event Coordinator is responsible for supporting the sales department by way of completing administrative duties & confirmation calls to finalize event details.
