Job summary

Dave & Buster's Inc. is seeking an Event Coordinator to support the sales department in behind-the-scenes administrative duties and to help finalize event details. You will participate in the sales process, handle RFPs, site tours, and ensure contracts and paperwork are up to date.

The role includes handling payments, updating BEOs, and pursuing upsell opportunities. The position requires strong organization, clear communication, and the ability to work with Guests, Sales Team and Operations.

Responsibilities

  • Meet guests' needs and ensure all contracts are updated.
  • Take RFPs and calls for social events and convert them into won business.
  • Conduct site tours as needed.
  • Distribute paperwork for pop-up parties and coordinate staffing.
  • Provide administrative support to Sales and follow up after sale closes, update BEOs and contracts.
  • Follow up on ARs, collect payment info, and close balances.
  • Submit check requests and invoices as needed.
  • Ensure Operations has up-to-date BEOs for each event.
  • Identify upsell opportunities after sale closes and act on them.

POSITION SUMMARY

The Event Coordinator supports the sales department in executing the important behind-the-scenes administrative functions that keep the Store functioning efficiently. Without this critical role, our efforts to provide “unreasonable hospitality” would be impossible. The Event Coordinator is responsible for supporting the sales department by way of completing administrative duties & confirmation calls to finalize event details. Additionally, the Event Coordinator participates in the exciting sales process and is responsible for a portion of booking our valuable social market.

ESSENTIAL DUTIES AND RESPONSIBLITES
  • Go above & beyond to ensure the needs of each Special Events Guest are met, communicating all requests from host to ensure all contracts are updated accordingly.
  • Take RFP’s and calls for social events, converting them to closed “won” business.
  • Conduct Site tours as needed.
  • Ensure accurate and prompt distribution of all paperwork for “pop up parties” working through management team to ensure they are staffed to support.
  • Provide administrative support to the Sales Department including follow up on calls/emails/tasks with Event Host after the sale is “closed won”, communicating to Operations any changes to BEOs or updated signed contracts.
  • Follow up on AR’s, collect payment information, and close out any remaining balances.
  • Submit check requests/invoices as needed.
  • Ensure Operations has the most up-to-date BEO for each event.
  • Offer “upsell” opportunities to Event Hosts after sale is “closed won”.
