Job description

Telaya Wine Co., a premier high-touch hospitality winery, is seeking a passionate and detail-oriented Event Coordinator to manage and elevate our private and Telaya-branded event offerings. This role is central to creating memorable experiences for clients hosting private events, including birthday parties, bridal showers, corporate gatherings, and more. The Event Coordinator will oversee all aspects of event planning—from lead generation to flawless execution—while embodying Telaya’s commitment to exceptional hospitality and brand excellence. For Telaya-branded events, this will include developing new, unique events and vendor identification and management.

Key Responsibilities:

- Outbound Sales: Proactively market Telaya’s event space through targeted outreach, including phone calls, emails, and networking, to attract new clients and build a robust event pipeline.

- Inbound Lead Management: Respond promptly and professionally to inquiries via phone, email, or in-person, providing tailored information to showcase the venue’s unique appeal.

- Lead Conversion: Guide potential clients through the booking process, presenting customized proposals to convert leads into confirmed event bookings.

- Vendor Coordination: Liaise with vendors (caterers, florists, entertainment, etc.) to ensure seamless collaboration and high-quality service delivery aligned with client expectations.

- Event Planning & Design: Create detailed floor plans and event layouts tailored to client needs, optimizing the use of Telaya’s stunning venue while maintaining brand standards.

- Event Setup & Execution: Oversee the setup of events, ensuring every detail—from décor to logistics—reflects Telaya’s commitment to excellence. Occasionally, work events provide hands‑on support and ensure a flawless guest experience.

- Telaya-Branded Events: Develop signature Telaya-branded events to enhance brand visibility and guest engagement, including ideation, vendor coordination, and promotion of the event.

- Website calendar management, manages the Events section of the site, and adds all Telaya-branded events to the website.

- Client Relationship Management: Build and maintain strong relationships with clients, ensuring their vision is realized while delivering exceptional customer service.

- Participate in the development of marketing collateral.

- Administrative Tasks: Maintain accurate records of bookings, contracts, and vendor agreements, and track event budgets to ensure profitability.

- Collaboration: Work closely with Telaya’s hospitality and winemaking teams to integrate wine offerings and brand storytelling into events.

Qualifications:

- 2+ years of experience in event planning, hospitality, or sales, preferably in a winery, luxury venue, or high-touch hospitality setting.

- Proven ability to drive sales through outbound efforts and convert leads into bookings.

- Exceptional organizational and multitasking skills with a keen eye for detail.

- Strong interpersonal and communication skills to build relationships with clients and vendors.

- Proficiency in event management software, CRM tools, and floor plan design tools (e.g., Social Tables, or similar).

- Ability to work flexible hours, including evenings and weekends, to accommodate event schedules.

- Passion for wine, hospitality, and creating memorable guest experiences.

- Knowledge of the Boise event market and vendor network is a plus.

Benefits:

Base Salary - $40,000 – $42,000

Incentive Plan of up to 10% of sales above the previous year's sales

Healthcare Stipend $550 per month
