Job description

Under general supervision, manage, coordinate, plan, and execute all event-related needs for clients contracted with Destination El Paso. Ensure overall success and client retention through outstanding customer service.

MAJOR RESPONSIBILITIES AND ESSENTIAL DUTIES
  • Ensure successful event coordination activities by monitoring events, maintaining contact with clients and staff to achieve service levels.
  • Meet with client groups to plan and organize meetings and events.
  • Guide clients in event preparation by interpreting contract provisions, policies, and procedures.
  • Inform clients about deadlines, including floor plans, room setup, insurance, and other details.
  • Prepare cost estimates, monitor billing, and settle event costs promptly.
  • Collect and settle invoices timely.
  • Communicate requirements clearly to operational departments.
  • Maintain event reports, information, and files.
  • Attend planning and organization meetings supporting facility operations.
  • Maintain a positive public image and relations with patrons and staff.
  • Schedule and adjust event staff work schedules for efficiency.
  • Establish effective relationships with security and safety personnel.
  • Handle complaints, disturbances, or problems with the public, staff, or clients.
  • Investigate and follow up on incidents involving damage or injury.
  • Work extended hours, including nights, weekends, and holidays.
  • Serve as manager on duty as needed.
  • Perform other duties as assigned.
SKILLS REQUIRED
  • Learn and demonstrate industry terminology, facility capabilities, and event coordination skills.
  • Apply principles of supervision, training, budgeting, and administration.
  • Handle conflicts and make decisions during stressful situations.
  • Work independently with judgment and initiative.
  • Organize, prioritize, and meet deadlines under pressure.
  • Remain flexible and adapt to situations.
  • Follow instructions and communicate effectively.
  • Maintain professionalism and positive relationships.
  • Operate office equipment and learn event creation software.
  • Possess a valid driver’s license.
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in hospitality, business, or related field preferred, or equivalent experience.
  • At least 1 year of professional experience in event management or venue operations, with preference for Convention Center experience.
  • Customer service experience required.
WORKING CONDITIONS
  • Work in an office environment and operate standard office equipment.
  • Sit, stand, walk, and assist with event duties as needed.
  • Occasional bending, stooping, lifting, and irregular hours required.
  • Ability to work in a fast-paced environment and collaborate with others.
