Event Coordinator

Shift/Hours: Monday - Friday, Full-time, 8:00 AM - 5:00 PM

Pay Range: $24/hr - $25/hr

Location: Carlsbad, CA 92011

Event Coordinator Job Duties and Requirements:
Public Relations:
  • Operate proactively with all leads.
  • Prioritize daily tasks, including calling, scheduling prospects, and follow-up.
  • Respond to prospect and client inquiries within 24 hours.
  • Maintain engagement with prospects via calls, emails, and letters.
Data Management:
  • Track weekly and monthly progress (calls, appointments).
  • Monitor event logistics and costs.
  • Coordinate with the Director of First Impressions for scheduling calls and visits.
Exercise Good Judgment:
  • Qualify prospects through problem-solving and professional judgment.
  • Address issues proactively, aligning with company vision and mission.
  • Manage budgets and negotiate with vendors.
  • Collaborate to meet marketing goals.
Event Execution:
  • Plan and prepare for events.
  • Communicate event plans to management and team.
  • Participate in seminars and client events to schedule prospects and ensure client satisfaction.
  • Interact professionally with guests, staff, and team.
  • Assist with equipment transport, setup, and teardown.
  • Conduct post-event reviews.
Qualifications:
  • Bachelor’s degree or 1-2 years related experience in a fast-paced environment.
  • Financial industry experience preferred but not required.
  • Ability to interpret documents, write reports, and speak effectively.
  • Strong problem-solving skills and follow-through.
  • Knowledge of Redtail CRM, Microsoft Excel, Google Sheets, and Word.
