Holiday Inn La Mirada - Buena Park is seeking a dedicated Conference Services & Events Coordinator to plan, organize, and execute conferences, social functions, and corporate gatherings within the hotel.

You will coordinate with multiple departments to ensure flawless event delivery, manage BEOs and event diagrams, and maintain exceptional client service from inquiry to post-event follow-up.

Qualifications

  • High School diploma or equivalent required.
  • 2+ years hotel experience in Banquet/Events or sales admin support.
  • 2+ years customer service experience.
  • 4+ years hospitality experience preferred.

Responsibilities

  • Handle incoming sales inquiries and assist Group Coordinator.
  • Prepare Banquet Event Orders (BEOs) and event diagrams for communication.
  • Coordinate dietary, room, A/V and other event requirements with departments.
  • Process deposits/payments with Accounting and provide weekly/monthly event reports.
  • Attend and conduct pre/post-conference meetings as needed.
  • Meet and greet clients on arrival and support event execution.

Job description

BASIC PURPOSE: The Hotel Conference Services & Events Coordinator is responsible for assisting with the planning, organizing, and executing a wide range of events, including conferences, social functions, and corporate gatherings, within the hotel. This role involves coordinating with various departments to ensure successful event execution and providing exceptional customer service to clients and guests.ESSENTIAL FUNCTIONS:Handle incoming sales inquiries include phone calls and walk-in along with Group CoordinatorMaintain an organized professional looking office environmentMaintain an accurate filing system for all sales documentConduct site-inspections as neededCommunicate with clients regarding all event details upon contracts signed definitePrepare and complete Banquet Event Orders (BEOs), Banquet Check and event diagrams for clients and operations departments to communicate specific needs, contracted/agreed-upon details and pricing for the meeting, event or programCoordinate special requests include but not limited to dietary restrictions, guestrooms specifications, audio visual, and event requirements with Group coordinator and operation departments to ensure client satisfactionWork closely with Accounting Department to process all deposits and paymentsGenerate and distribute weekly and monthly reports for upcoming eventsPrepare and perform pre and post conference meetings as neededPerform weekly BEO meeting or as neededMeet and Greet clients upon arrival as neededInput all final group pick-up in Delphi/SalesForce with assistance from Group coordinatorRepresent the hotel sales team in investigating and resolving any group complaints or conflicts including, but not limited to: billing issues, misplaced items, reservations and contract discrepanciesComplete administrative tasks supporting all events sales efforts as assigned by the DOSM including but not limited to: documenting prospective accounts, organizing files, preparing contracts, preparation of invoices, purchasing of office supplies and data entryAssists Sales Team with any special projectsEducation: High School education and equivalent experience.Experience:2+ years previous hotel experience preferably in a Banquet or Events service capacity or in a sales administrative support role2+ years customer service experience4+ years previous hospitality experienceSignificant customer service experienceSkills and Abilities:Operate modern office equipment, including but not limit to computer, phone, and copy machineStrong problem solving and organizational skillsAttention to detail and ability to exceed quality standardsEnthusiastic and positive energyMulti-tasking abilityProficiency in Microsoft Office SuiteProfessional communication skills both verbal and writtenSalesforce and/or other event and group management softwareAble to lift up to 20lbsAble to bend, stretch, and twistAble to stand or sit for long periods of timeNo. of employees supervised: None.Travel required: None.Hours Required: 8-hour shift; Scheduled days and times may vary based on need.
