Job summary

Cox Automotive Inc. is seeking a role that provides operational, administrative, and estimating support across retail reconditioning operations.

You will work with estimators, technicians, vendors, and internal teams to keep vehicles moving through the recon process on time and on budget, with accurate documentation. You will help prepare the operation for growth by maintaining records, coordinating parts and workflow, and communicating status updates and requirements to internal stakeholders.

Qualifications

  • High school diploma/GED with 3 years in a related field, or higher degree with 1 year, or 5 years in a related field.
  • Experience in automotive estimating, recon operations, or shop coordination preferred.
  • Strong organizational skills with ability to manage multiple priorities.
  • Excellent communication and vendor-relationship skills.
  • Ability to interpret reports, track workflow, and maintain accurate documentation.
  • Familiarity with parts ordering, inventory processes, and mechanical terminology.
  • Strong computer proficiency (Excel, email, internal systems, reporting tools).
  • Ability to work collaboratively in a fast-paced operational environment.
  • Commitment to safety, accountability, and teamwork.

Responsibilities

  • Provide accurate reconditioning estimates for mechanical and other recon services.
  • Produce estimates for commercial, dealer, rental, retail customers, and internal needs.
  • Communicate estimates in required formats (electronic, email, written).
  • Collaborate with Procurement/Purchasing for correct pricing on parts and supplies.
  • Monitor repair status, timelines, transportation needs, and updates.
  • Serve as central link between shop, sublet vendors, and auction teams.
  • Coordinate workflow with lead technician and manage daily priorities.
  • Communicate vehicle status updates and delays between departments.
  • Pull and interpret daily/weekly OCC and operational reports for planning.
  • Create technician worklists and balance daily workload.
  • Maintain detailed records for lot damage, employee vehicles, and administrative needs.
  • Build strong supplier relationships for timely parts availability.
  • Receive and check in all incoming parts for accuracy.
  • Assign parts to technicians and ensure they are staged and organized.
  • Maintain accurate parts logs and documentation.
  • Manage stock parts and inventory, including replenishment.
  • Conduct and report monthly physical inventory counts.
  • Process returns, cores, and warranty claims.
  • Maintain clean, safe parts storage and returns areas.
  • Demonstrate safety by modeling procedures and participating in Safety Excellence.

Job description

In this role, you'll provide operational, administrative, and estimating support across retail reconditioning operations. You'll work closely with estimators, technicians, vendors, and internal teams to ensure vehicles move efficiently through the recon process-on time, on budget, and with accurate documentation. Your work directly supports day-to-day shop performance and helps prepare the operation for future growth.

What You'll Do
  • Provide accurate reconditioning estimates for mechanical and other recon services.
  • Produce estimates for commercial, dealer, rental, retail customers, and any internal or lot damage needs.
  • Communicate estimates in required formats (electronic, email, written, etc.) to meet internal and external customer expectations.
  • Collaborate with Procurement/Purchasing to ensure correct pricing on parts and supplies associated with estimates.
  • Monitor repair status, completion timelines, transportation needs, and customer updates related to approved estimates as directed by management.
  • Act as a central communication link between the mechanic shop, sublet vendors (body shop, PDR, dealerships, etc.), and other auction teams.
  • Partner with the lead technician to coordinate workflow, assign tasks, and manage daily priorities.
  • Communicate vehicle status updates, delays, and movement between departments.
  • Pull and interpret daily/weekly OCC and operational reports for planning.
  • Create technician worklists and assist in balancing daily workload.
  • Maintain detailed records for lot damage, employee vehicles, and related administrative needs.
  • Build and sustain strong relationships with suppliers to ensure timely parts availability.
  • Receive and check in all incoming parts and verify accuracy.
  • Assign parts to technicians, ensuring items are staged, organized, and ready for repairs.
  • Maintain accurate and up-to-date parts logs and documentation.
  • Manage stock parts and inventory organization, including replenishment as needed.
  • Conduct and report monthly physical inventory counts.
  • Process returns, cores, and warranty claims.
  • Maintain clean, safe, and organized parts storage and returns areas.
  • Demonstrate visible commitment to safety by following and modeling all safety and health procedures.
  • Participate actively in Safety Excellence activities.
  • Perform other duties as assigned by management.
What You Bring
Minimum Qualifications
  • A high school diploma/GED and 3 years of experience in a related field; or any degree/certification beyond high school and 1 year of experience; or 5 years of experience in a related field.

USD 21.83 - 32.79 per hour

Compensation

Hourly pay rate is in the range of $21.83 - $32.79/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
