Job summary

Hargrove Firm is seeking an Estate Planning Paralegal to support our virtual estate planning workflow. You will help clients onboard into NetLaw, schedule meetings, and assist with drafting and executing estate planning documents.

Strong communication, confidentiality, and attention to detail are essential. The role emphasizes independent work, organization, and collaboration with attorneys and financial advisors in a fast-paced environment.

Qualifications

• 4+ years of experience in Estate Planning and drafting Estate Planning documents required.
• Prior experience with case and/or project management; ability to coordinate multiple calendars.
• Proficiency in Microsoft Word, Excel, Outlook, and Zoom; basic proficiency with new technology systems.
• High level of organization, time management, and attention to detail.
• Excellent verbal and written communication skills.
• Commitment to customer service and confidentiality.
• Team-player who thrives in a fast-paced, collaborative environment.

Responsibilities

• Maintain database of clients, financial advisors, and legal team; track progress and log activity.
• Coordinate communication with financial advisors and clients to ensure task completion.
• Orchestrate and maintain a synchronized calendar for virtual meetings with clients, attorneys, and advisors.
• Monitor inquiries via online support (chat, email, video).
• Demonstrate dependable, confidential, and timely responsiveness to deadlines.
• Provide technical guidance to users on NetLaw, video conferencing tools, and related tech.
• Assist Attorneys with client support: drafting, final documents, follow-up communications.
• Complete other tasks as assigned by management.
• Assist in oversight and training of legal assistants for the virtual practice.
