Job summary

Orion Placement is seeking a leader for the Trusts & Estates Practice Group in Rockville, MD to manage workflows, supervise staff, and coordinate complex wills and trusts work for high‑value clients.

Ideal candidates have 5+ years in trusts and estates law, 2+ years of supervision, and a strong client-service mindset. The role offers on-site leadership, collaboration with attorneys, and opportunities to shape client experiences.

Qualifications

  • 5+ years of directly relevant trusts and estates law experience.
  • 2+ years of supervisory or management experience.
  • Strong understanding of wills, revocable and irrevocable trusts, powers of attorney, advance directives, and related estate planning documents.
  • Prior experience within a law firm trusts and estates practice strongly preferred.
  • Experience with a private bank trust department, trust company, family office, or wealth management environment is valued.
  • Bachelor's degree required; paralegal certificate or advanced degree is a plus.
  • Proven ability to lead, train, mentor, and manage staff.
  • Exceptional organization and attention to detail; strong written and verbal communication skills.
  • Proficiency with Microsoft Office and document management systems.
  • Familiarity with legal billing software or CRM systems is a plus.
  • Ability to manage multiple priorities while exercising sound judgment and discretion.
  • Professional, proactive, solutions-oriented approach with a strong commitment to client service.

Responsibilities

  • Lead day-to-day management of estate planning matters and workflows for the Trusts & Estates Practice Group.
  • Coordinate deadlines, priorities, client communications, meetings, and deliverables across multiple estate planning matters.
  • Oversee the preparation and quality control of wills, trusts, powers of attorney, advance directives, and related estate planning documents.
  • Supervise, train, mentor, and manage administrative staff supporting estate planning attorneys.
  • Serve as a key point of contact for clients, beneficiaries, referral sources, financial advisors, and other professionals.
  • Coordinate the collection, organization, and review of client information during new matter intake.
  • Ensure estate planning matters remain organized, timely, accurate, and aligned with firm policies.
  • Oversee closed-file processes, including document scanning, indexing, storage, retention, and final matter review.
  • Partner with billing and finance teams to resolve work-in-progress and accounts receivable matters before file closure.
  • Maintain strict confidentiality when handling sensitive client, financial, and estate information.
  • Identify opportunities to improve processes, increase efficiency, and enhance the overall client experience.
  • Act as a dependable resource for attorneys and staff while helping maintain a high standard of service across the practice.

Location

This is an on-site opportunity in Rockville, MD, ideal for a hands-on leader who enjoys being closely connected to their team, attorneys, and clients.

Note

Must have 5+ years of trusts and estates law experience and 2+ years of supervisory or management experience. Candidates should have a strong understanding of estate planning concepts and the ability to confidently manage people, priorities, deadlines, and sensitive client matters.
