Job summary

Flying S Title & Escrow is seeking an experienced Escrow Officer in Hamilton, MT to manage real estate transactions from opening to closing and post-closing. You will work closely with buyers, sellers, lenders, and attorneys to ensure accurate documentation and timely closings.

The role emphasizes building client relationships, maintaining detailed records, and complying with company procedures while supporting a collaborative, growth‑oriented culture in a family-owned environment.

Qualifications

  • Minimum of 3–5 years of escrow or title industry experience.
  • Must have or be able to obtain a producer license within 90 days (where applicable).
  • Must have or be able to obtain a Notary Public commission within 90 days.
  • Strong customer service and professional attitude.
  • Ability to pass a background check and MVR.
  • Proficient with escrow/title software and Microsoft Office.

Responsibilities

  • Manage escrow files from opening through closing and post-closing, ensuring transactions are handled accurately and efficiently.
  • Prepare, review, and manage escrow documents, closing statements, title documents, lender instructions, payoff statements, lien releases, and insurance documents.
  • Review title commitments and tax certificates, identify title issues or exceptions, and coordinate resolution with the appropriate parties.
  • Meet with attorneys, realtors, lenders, buyers, sellers, and clients to draft, review, and explain escrow instructions, agreements, and closing documents.
  • Conduct closings both on-site and off-site, oversee the execution of required documents, and disburse funds per procedures and lender requirements.
  • Administer trust accounts and handle confidential transaction information with discretion.
  • Communicate professionally with internal teams and external clients by phone, email, and in person.
  • Participate in business development and build a book of business through proactive relationship building.
  • Support and promote the company’s core values, goals, and culture, while adapting to changing responsibilities.

Key Responsibilities

  • Conduct closings both on-site and off-site, oversee the execution of required documents, and disburse funds in accordance with company procedures and customer or lender requirements.
  • Administer trust accounts in accordance with company policy and handle confidential transaction information with discretion.
  • Communicate professionally with internal teams and external clients by phone, email, and in person to answer questions and support smooth, timely closings.
  • Participate in business development efforts, attend community and real estate events, and build and maintain a book of business through proactive relationship building and client engagement.
  • Support and promote the company’s core values, goals, and culture, while adapting to changing responsibilities and procedures with a positive, productive attitude.

Requirements

  • Must be at least 18 years old
  • High school diploma or equivalent required; college degree preferred
  • Minimum of 3 to 5 years of experience in the escrow or title industry
  • Must have or be able to obtain a producer license within 90 days, if applicable by state
  • Must have or be able to obtain a Notary Public commission within 90 days
  • Experience with residential, construction, and basic commercial transactions preferred
  • Valid driver’s license and ability to operate a company or personal vehicle for business purposes, including errands, training, client meetings, community events, and off-site closings
  • Ability to pass a background check and MVR
  • Ability to sit at a desk and work on a computer for extended periods
  • Ability to lift up to 15 pounds occasionally
