Qualifications

ERS is seeking an Investments Program Specialist to perform complex (journey-level) consultative services and technical assistance work for the Investments Division. Responsibilities include managing client relationships, overseeing project execution, providing consultative services and technical assistance to staff, other agencies, stakeholders, or the public. May provide guidance to others. Works under general supervision and the direction of the Investments Administration Manager, with moderate latitude for initiative and independent judgment.

Essential Responsibilities include, but are not limited to:
  1. Manage annual and ad hoc updates to the BNY Mellon Signature Card/Letter and Notices, ensuring accuracy with changes in signature authority or resignations/retirements.
  2. Manage and distribute incoming gifts for the Investments division, ensuring proper documentation and reporting through the MyCompliance (MCO) system, coordinating with Internal Audit and the Executive Office.
  3. Assist in preparing administrative reports, training reports, gift logs, SOPs, research studies, presentations, and special projects.
  4. Coordinate and support trading compliance initiatives, including monitoring restricted trade lists and preparing reports for ERS and government agencies.
  5. Maintain and update ERS contact lists for private market funds, including data management for fund closings.
  6. Monitor and update division reports on internal and external websites as needed.
  7. Respond to complex inquiries regarding policies and procedures, applying relevant rules and regulations to resolve issues.
  8. Handle escalated administrative matters and respond promptly to staff or members.
  9. Identify and recommend improvements to operational practices; assist in developing and reviewing departmental guidelines and procedures.
  10. Develop enhancements to existing processes; identify areas for change and recommend improvements.
  11. Prepare, review, and distribute correspondence, reports, studies, forms, policies, reference guides, and informational materials.
  12. Research, prioritize, and follow up on issues including HR inquiries, performance evaluations, ICP questions, and IAC member information, determining appropriate responses.
  13. Serve as backup to the Records Coordinator, overseeing records management programs.
  14. Serve as backup to the division liaison and point of contact for SharePoint matters.
  15. Assist with division communications with the Investment Advisory Committee, including processing travel for meetings.
  16. Support quarterly ERS board meetings and ensure smooth operations.
  17. Assist with scheduling needs, including serving as backup for the Investment Scheduler.
  18. Support administrative tasks such as greeting visitors and managing phone lines.
  19. Assist with Investments conferences and organize ACIC meetings, including distributing materials and recordkeeping.
  20. Assist with uploading confidential documents via DocuSign for signatures from high-level managers.
  21. Manage and develop employee recognition awards and programs as needed.
  22. Adhere to attendance and leave policies by attending work regularly.
  23. Perform other duties as assigned by management.
Required Minimum Qualifications:
  1. High school diploma or GED, plus 60 semester hours from an accredited college or university; experience over the minimum may substitute for college credits.
  2. Three (3) years of program support experience in an institutional investments organization or similar environment.
  3. Three (3) years of experience researching, compiling, and analyzing data and reports.
  4. Three (3) years of experience using MS Office (Excel, Word, PowerPoint), including creating/editing charts, diligence memos, and presentations.
Preferred Qualifications:

Experience with CAPPS, Anaplan, Bonfire, and/or Visio is preferred.
