Ergon Refining currently has an opening for an Operational Excellence Administrative Assistant, the Operational Excellence Administration Assistant position serves as the Administrative Assistant supports the department as needed with clerical type duties to help ensure that all data and records are kept current, all reports are generated as scheduled, and all Operational Excellence work is performed in the most efficient and professional manner.

Responsibilities:

  • Keep safe work habits as the highest priority at all times
  • Maintain a well-organized workspace at all times
  • Practice good working relationships with all co-workers and associates
  • Generate and maintain worker's compensation forms and related documents
  • Generate and maintain DOT records and schedule medical appointments as needed
  • Maintain Delivery / Pick-up Service Company List as defined in the Plant Entrance Policy
  • Process SDSs and new chemical requests
  • Maintain OSHA Records and have available when needed
  • Maintain issued permit logs and issue monthly report
  • Maintain and update E-Plans for Environmental Department
  • Distribute daily mail as needed
  • Maintain Contractor Files
  • Pre-Qualification records
  • Update Insurance Certifications
  • Administrate P-Card for Operational Excellence Department
  • Reconcile Monthly with Statement and Corporate
  • Payment of invoices and supplies
  • Assist with coordination of daily office duties and other tasks as assigned
  • General filing and maintenance of file room and indexes
  • Catering for Meetings
  • Maintaining and ordering office supplies
  • Organize and file Permits for the month to be filed
  • Assist with monthly safety meetings
  • Generate travel arrangements and seminar/conference registrations
  • Expense Reports with receipts
  • Update Master List and Files
  • ERI New Hire Tracker
  • ERI TWIC Verification
  • ERI Monthly Performance Report
  • ERI Monthly Departmental Report
  • Electronic Safety Orientation files (Visitors, Contractors, and Employees)
  • Administer Pre-Employment Screenings
  • Generate and maintain DOT records
  • Schedule medical appointments as needed
  • Scan employee files
  • Generate and maintain accident reports and departmental, refinery-wide reports and charts

Requirements:

  • High School Diploma or equivalent
  • Previous reception/administrative assistant work experience is desired
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office including Word, Excel and PowerPoint

Must be able to pass a pre-employment drug screen and background check. A clean MVR is required.
