About the job Entry Level Administrative Assistant (Remote)

The administrative assistant will provide administrative support for a Principal Investigator (PI) working on several NIH-funded research studies. This position requires great attention to detail and ability to work on multiple projects in a team-oriented environment. The administrative assistant will be responsible for the daily coordination of all administrative duties connected with the projects. Specific duties include scheduling of project meetings; managing operational functions (ordering supplies, submitting reimbursements); making travel arrangements; maintaining the research group website; working with databases containing sensitive medical information; assisting with formatting and submission of manuscripts; conducting literature search. The administrative assistant can expect to work closely with the PI on various study tasks.

Department Description

The Department of Epidemiology and Biostatistics (DEB), housed within the UCSF School of Medicine, has a vision to advance discoveries and insights into the distribution, determinants and outcomes of disease that will drive improvements in population health worldwide. The DEB has three missions: 1) education, 2) science, and 3) research. Its educational mission is to train students in epidemiologic and biostatistical methods for studying disease etiology and prevention, evaluating tests and treatments, and using evidence-based approaches in clinical practice and population health. The scientific mission of the DEB is to perform outstanding basic, clinical and population health research along a spectrum from molecules to society and to develop tools for the translation of knowledge that will improve clinical practice and population health and ensure optimal use of resources. The clinical mission of the Department is to support the practice of public health and preventive medicine in local, state, national and international health agencies.

Required Qualifications

  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience
  • Skilled in using MS Office suite, including Word, Excel and PowerPoint

Preferred Qualifications

  • BA/BS with a minimum of two years of experience in administrative support.
  • Ability to work independently with minimal supervision
  • Excellent written and oral communication skills
  • Ability to work on a task over extended period of time and to see it through to completion
  • Experience conducting literature reviews
  • Experience formatting manuscripts and using EndNote referencing software
  • Experience with UCSF administrative systems, including BearBuy, MyExpense, Connexxus, library catalogues
