Job summary

Patheon in North Carolina is seeking an experienced administrative support professional to assist department staff and manage complex administrative tasks. You will coordinate activities for the engineering project portfolio and track deliverables, timelines, and communications with project managers and clients.

Responsibilities include onboarding, maintaining calendars, preparing documents, and ensuring compliance with SOPs and Good Manufacturing Practices.

Qualifications

  • High school diploma or GED required.
  • Minimum 5 years of related administrative experience.
  • Equivalent combinations of education, training, and experience may be considered.
  • Strong interpersonal and communication skills.
  • Ability to prioritize multiple tasks.

Responsibilities

  • Provide administrative support for departmental staff and resolve complex administrative issues.
  • Serve as departmental expert on administrative policies and procedures.
  • Coordinate activities and support key engineering functions for flawless execution of the engineering project portfolio.
  • Support the Director of CAPEX, Senior Project Manager, and Project Managers in planning, coordinating, and tracking team activities, timelines, and project deliverables.
  • Orient new employees and contractors on departmental procedures and clarify company policies.
  • Liaise between Project Managers, internal project teams, and clients to support communication, project progression, and issue resolution.
  • Coordinate project management tasks and maintain a safe working environment.
  • Coordinate administrative aspects of special projects and meetings.
  • Maintain multiple calendars, track open items, and support tier meetings.
  • Prepare and proofread complex documents, presentations, reports, and letters; gather and summarize data.
  • Maintain departmental organizational charts.
  • Administer and manage E-Cars, Catalyst, and Ariba systems.
  • Process purchase requisitions according to corporate guidelines and support project controls infrastructure.
  • Coordinate project documentation, client shipments, internal files, and project binders.
  • Attend and assist in project team meetings, client conferences, and on-site visits.
  • Engage with departmental systems, visual management, scheduling systems, KPIs, process improvements, and problem solving.

Requirements
  • High school diploma/General Educational Development (GED) Certificate is required
  • Minimum 5 years of previous related experience
  • Equivalent combinations of education, training, and relevant work experience may be considered
  • Strong interpersonal and communication skills
  • Ability to prioritize multiple tasks
  • Experience in a pharmaceutical environment is an asset
  • Familiarity with Good Manufacturing Practices is an asset
  • Demonstrated computer proficiency with Microsoft Office programs
  • Proficiency in the English Language
  • Follow all Environmental Health & Safety Policies and Procedures
  • Carry out all duties within strict compliance to Patheon quality systems Standard Operating Procedures (SOPs) and Good Manufacturing Practices
  • Physical ability to walk, sit, or stand for limited periods; lift light items; and occasionally operate equipment including keyboard equipment
  • Personal Protective Equipment may be required, including safety glasses, safety shoes, lab coat, gloves, hair net, beard cover, safety apron, or respirator
