Johns Hopkins University Applied Physics Laboratory (APL) in Laurel, MD, is seeking an Engineering Group Administrative Assistant for the Maritime Robotics Group to support a fast-paced engineering team with administrative duties. You will manage purchasing, travel reimbursements, field-test documentation, and group communications while ensuring secure handling of confidential information.

Qualifications

  • Associate degree or equivalent years of experience, with a minimum of 5 years of relevant administrative support experience.
  • Ability to work on complex and multiple administrative and program tasks independently with little supervision.
  • Willingness to take on additional work and challenges to develop new skills.
  • Proficient in the MS Office suite in order to produce high-quality documents, spreadsheets and presentations.
  • Capable of demonstrating independent judgment, interacting and communicating effectively with engineering teams and external contractors.
  • Proactively initiate, manage, and lead administrative tasking.
  • Able to obtain Interim Secret level security clearance by start date and can ultimately obtain Secret level clearance. US citizenship required.

Responsibilities

  • Manage the group office including the purchasing and reconciling of laboratory equipment, materials, and supplies; processing travel reimbursements.
  • Collect and catalog documentation for field tests and engineering test events.
  • Provide grammatical and formatting reviews of technical documents and engineering memos.
  • Independently initiate administrative efforts to resolve any issues regarding in and outbound logistics, shipping authorizations, and travel for our field support teams.
  • Contribute to group security processes to ensure all relevant procedures are followed for the safe handling of classified information.
  • Work with our engineering teams to purchase lab equipment and supplies.
  • Ensure clearances are processed for staff’s travel to government facilities.
  • Lead property audits as the group property administrator.
  • Partner with other administrative staff to work as a seamless team across our engineering groups including backfill and sharing of workload.

As the administrative assistant for the Maritime Robotics Group, you will have the opportunity to apply your administrative experience to an energetic engineering team that delivers solutions to our national security sponsors. You will play an active role in purchasing, reimbursing travel, shipments, and group communications.

The referenced pay range is based on JHU APL’s good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
