Job Summary
Odyssey HouseLouisiana, Inc. is seeking a full-time Engagement Specialist. The schedule forthis position is Monday-Friday 8am-5pm.
The Engagement Specialist performs a varietyadministrative tasks for the Briscoe Program. The Engagement Specialist’sprimary role is scheduling and referral coordination, assisting in thecompletion of admissions, coordinating transportation for Briscoe clients, andcontinuity of care planning. This role may also include outreach opportunities(at the discretion of the Program Manager and based on facility needs).
Duties & Responsibilities
It is the primary duty and responsibility of the EngagementSpecialist to:
- oversee the efficient operations of theTreatment Office by maintaining electronic correspondence (fax and copier),memos, and other documentation;
- contact referral sources daily andupdate/maintain referral spreadsheets;
- coordinate referrals, check and followthrough with online referrals via referrals@ohlinc.org, and schedule referral appointments
- initiate scheduled intakes foradmissions counselors;
- engage clients on waitlists andschedule appointments;
- maintain communication with governmentofficials for court-ordered clients;
- answer and field all front desk callsand conduct preliminary triage;
- complete initial triage forms;
- meet scheduling productivity goals asdirected by the Program Manager and Director;
- run and distribute reports and maintainthe Engagement Specialist Log;
- providing benefits and Medicaidsupport;
- assist in transportation arrangementsand coordination activities;
- maintain and input daily updates onLADDS, OAD census and Service Point information for monthly, quarterly andannual reporting requirements;
- draft requisitions for the purchase ofsupplies; may involve entering information into an automated system;
- conduct MEVS, background checks, UDS;
- distribute orientation booklets;
- coordinate viewing of mandatory Narcanvideo;
- update census and discharge reportsdaily and assign new clients to Counselors;
- participate in staff meetings whennecessary; and
- perform other duties as assigned.
Itis the secondary duty and responsibility of the Engagement Specialist to:
- screen incoming mail and draftresponses to inquiries for information concerned with matters of non-technicalnature and/or matter in which precedents are clear;
- distribute incoming resident mail basedon OHL-B’s current workflow;
- maintain department’s records system,including filing and retrieving documents, researching files, etc.;
- maintain SharePoint files and inactivetreatment files;
- complete all Incident Reports prior tothe end of the scheduled shift as required by the Incident Policy andProcedure;
- facilitate client phone calls relatedto establishing needed services/care (i.e., SNAP benefits);
- assist with filing of clientdocumentation;
- contact the Senior Program Manager inthe event of a fire or evacuation of the treatment facility as required;contact the Program Manager or theBehavioral Health Technician Supervisor if the Police or other law enforcementofficials come to the Agency;
- perform searches on clients returningto the program from outside activities;
- scan documentation into the ElectronicHealth Record;
- enter client information into thePractice Management System; and
- support outreach efforts by attending,facilitating, or assisting with various outreach opportunities and activities;
- perform other duties as assigned.
MinimumQualifications
- Proficient in MS Office Suite
- Atleast 6 months experience with substance abuse treatment
- Excellent communication skills
PreferredQualifications
- Bachelor’s Degree in a human service related field
- More than 2 years of substance abuse treatment experience
- At least 1 year of Electronic Health Record systemexperience
- At least 1 year of MS Access experience
- Knowledge of Narcotics Anonymous andAlcoholics Anonymous principles
