Job summary

Chicago Public Schools (CPS) is seeking an Employee Transaction Specialist to manage staffing transactions, onboarding, and HR data. Reporting to the Talent Staffing Manager, you will apply policies to ensure eligibility and compliance, processing hires, transfers, promotions, retirements, resignations, and layoffs districtwide.

This full-time exempt role requires at least five years in high-volume administrative support, strong customer service and confidentiality, and proficiency with MS

Qualifications

  • High school diploma or GED required.
  • Associate or Bachelor's degree preferred.
  • Minimum of five years of professional experience in a high-volume, administrative support role.

Responsibilities

  • Process initial step/lane placement for new hires, lane change applications, and PSRP upgrades.
  • Complete range of processing activities related to employee staffing transactions, including onboarding and staffing for new hires and rehires, transfers, promotions, demotions, retirements and resignations, layoffs and displacements for assigned CPS networks and departments.
  • Enter and maintain accurate data in various HR systems and Staffing Services databases.
  • Assist employees with HR technology, answer questions, and participate in training efforts.
  • Respond to routine questions on policies, procedures, staffing actions, and new-hire onboarding.
  • Manage onboarding, transfers, promotions, demotions, retirements, resignations, layoffs, and displacements across assigned CPS networks/departments.
  • Work with the Staffing Manager on HR manual updates and meet regularly with peers to maintain consistent HR transaction practices districtwide.
  • Other duties as assigned.

Job Summary:

Reporting to the Talent Staffing Manager, the Employee Transaction Specialist will use district policies, practices, and guidelines to accurately and efficiently process all transactions related to staffing, including but not limited to new hire and rehire staffing, retirements and resignations, layoffs and displacements. This position will also evaluate applications from employees to determine that eligibility is in line with established laws, policies and procedures. This is a full-time, exempt position that will be paid for time worked on a salary basis.

The Employee Transaction Specialist will be held accountable for the following responsibilities:

Process initial step/lane placement for new hires, lane change applications, and PSRP upgrades

In order to be successful and achieve the above responsibilities, the Employee Transaction Specialist must possess the following qualifications:

Education Required:

High school diploma or GED equivalent, required

Associate or Bachelor's degree from an accredited college or university is preferred

Experience Required:

Minimum of five (5) years of professional experience in a high-volume, administrative support role is required

General administrative Human Resources experience is preferred

Knowledge, Skills, and Abilities:

High standards of customer service; Ability to maintain objectivity and confidentiality with highly sensitive information

Demonstrate high level of integrity, honesty, credibility, and the courage to make difficult yet necessary decisions with limited direction or oversight

Superior organizational, time management, analytical and problem-solving skills

Strong communication skills (Written, Verbal, Interpersonal); Capable of interacting and collaborating with various audiences

Highly skilled in conflict resolution; Capable of receiving and responding to complaints and escalations with an innovative approach leading to positive outcomes

Proficiency with use of MS Office (Word, Excel, PowerPoint, etc) and Google Suite (Google Sheets, Google Drive, Google Docs, and Gmail)

Adept at translating data requests to inform operational decisions

Ability to thrive in a fast-paced, often high-pressure environment while remaining flexible, efficient, and operating with a high level of professionalism

Ability to learn quickly, manage various tasks and projects while maintaining strong attention to detail, Capable of developing work plans and following through to completion

Ability to comprehend and adhere to Labor Union contracts

Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions; however, all CPS employees must be residents of Illinois.
