The Stanford Center for Continuing Medical Education (Stanford CME) is a global leader in promoting lifelong learning among healthcare professionals. Job Purpose

Stanford University School of Medicine’s Center for Continuing Medical Education (CME) is seeking an Education Funding Operations Specialist to lead the solicitation, negotiation, administration, and compliance monitoring of educational grants, sponsorships, and exhibits that support accredited and non-accredited continuing education programs for healthcare professionals.

This position plays a vital role in sustaining and expanding external funding by preparing and submitting grant proposals, managing post-award reporting, and maintaining relationships with a diverse portfolio of funders, including industry partners, non-profit foundations, and government sponsors. The Operations Specialist collaborates closely with faculty, course directors, and administrative staff to ensure compliance with Stanford University policies and accreditation requirements, while advancing the mission of delivering high-quality, evidence-based education.

The successful candidate will demonstrate exceptional organizational skills, a high degree of professionalism, and the ability to thrive in a fast-paced environment that requires balancing competing deadlines. Prior experience with educational grants, sponsorships, or contracts—particularly in a continuing medical education or healthcare setting—is strongly preferred.

This position is eligible for full-time remote work from within the United States with periodic visits to campus, subject to operational needs. In addition, a shared touchdown workspace is available for staff who wish to work onsite occasionally.

Core Duties

  • Conducting formal solicitations and negotiations of grants, sponsorships and exhibits in support of department initiatives.

  • Preparing detailed proposals, budgets, amendments, and compliance documentation.

  • Accepting awards on behalf of the university and overseeing all aspects of post-award administration, including reporting, reconciliation, and recognition deliverables.

  • Advising faculty and staff on the interpretation of grant provisions, regulatory requirements, and institutional policies.

  • Serving as a subject matter expert on funding compliance, accreditation standards, and industry regulations.

  • Managing complex timelines and deliverables across multiple concurrent projects.

  • Contributing to process improvements, training, and resource development to enhance operational efficiency and compliance.

Education & Experience (Required)

Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.

  • Knowledge of grant and contract programs and processes.

  • Excellent communication and interpersonal skills.

  • Excellent judgement to know when to escalate unusual cases to more experienced colleagues.

  • Proven ability to manage a high volume workload and a multitude of constantly changing priorities in a fast-paced environment.

  • Demonstrated ability to take initiative, prioritize workload, follow up with key stakeholders, meet deadlines and work both independently and as an effective member of a team.

Physical Requirements

This remote role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures. The compensation for this position will be based on the location of the successful candidate.

The expected pay range for this position is $71,890 to $90,300 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
