Job summary

Denise Louie Education Center (DLEC) in Seattle, WA seeks an Education Center Assistant Manager to support the Education Center Manager in daily operations. You will supervise staff, manage front desk duties, and assist with program and curriculum support to ensure quality ECE standards are met.

Qualifications

  • Ability to work a flexible schedule including some evenings/weekends.
  • Bilingual in English and another language preferred.

Job description

Position Summary

The Education Center Assistant Manager provides support to the Education Center Manager by providing direct support to the operations of their primary education center location. In this role, the Education Center Assistant Manager will work with internal and external individuals and groups to ensure that the center is supported in line with Denise Louie Education Center program standards and ECEAP, SPP, and Head Start program standards.

Essential Functions
Support and Supervision
  • Support the Education Center Manager in overseeing the daily operations of the education center.
  • Assist with supervision of education center staff and provide guidance and support as needed.
  • In the absence of the Education Center Manager due to scheduled leave, illness, training, meetings, or other approved absences, provide day-to-day leadership, guidance, and support to education center staff to ensure continuity of program operations.
  • Address routine operational matters within the scope of the position and follow the established chain of command for personnel, disciplinary, budgetary, policy, programmatic, or other matters requiring higher-level approval or authorization.
  • Orient staff and substitutes to the site and classrooms in coordination with the Education Center Manager.
  • Provide backup classroom and kitchen support when needed.
Administrative and Operational Support
  • Handle day‑to‑day administrative tasks such as staff schedules, attendance records, inventory management, and proper maintenance of incident and accident reports.
  • Ensure proper supplies including food supplies, arts and crafts supplies, health, safety, and environmental related supplies, office supplies.
  • Act as site reception, answer phones, direct calls, take messages, greet families, and provide program information with front desk coverage.
  • Safekeep distribution and tracking of site key fobs.
  • Submit maintenance requests and ensure completion, escalating large concerns to ensure licensing compliance.
  • Follow procedures for emergencies and natural disasters, keep emergency plans posted and supplies labeled.
  • Maintain good housekeeping across all center areas and ensure displayed information is current.
  • Enter data into databases to help ensure licensing and contract compliance.
  • Assist in closing, storage, and maintenance of program information, files, binders, and other documents at the end of the program year.
  • Open and close the site.
  • Receive and distribute mail and packages.
  • Assist with agency-wide activities such as All Staff Meetings and Site Meetings.
Financial and Record Keeping
  • Help the Education Center Manager with budgeting, financial management, and record keeping for the center.
  • Ensure children are checked in and out, and document attendance of students in the database.
  • Ensure all staff and visitors check in and out and maintain a log.
  • Complete application with prospective families and forward to the enrollment team.
  • Document and escape parent concerns to the Education Center Manager.
  • Document and monitor incidents and accidents in ChildPlus and other systems such as CHIPS.
Program and Curriculum Support
  • Assist the education team in developing and implementing age‑appropriate curriculum and activities for children.
  • Support the development of organizational systems, processes, and tools to ensure the smooth operation of the site and support programs.
  • Support with arrangement/coordination of training, meetings, celebrations, parent committees, and Policy Council.
  • Upon request, provide translators and/or childcare for parent meetings, training, etc.
Compliance and Safety
  • Support the Education Center Manager in ensuring compliance with state regulations and licensing requirements.
Communication and Community Engagement
  • Greet all family and visitors; provide tours to prospective families and donors.
  • Document and escape parent concerns to the Education Center Manager.
  • Provide recommendations, support, and share feedback to the Education Center Manager on educational policies and procedures.
Other Responsibilities
  • Identify and attend meetings and conferences that relate to role and professional development goals.
  • Other duties as assigned.

Qualifications
  • Two years of experience in providing office support and support in an Early Childhood Education organization.
  • Two years of experience working in a classroom setting in an Early Childhood Education organization.
  • An Associate’s or Bachelor’s in early childhood education or a related field.
  • Experience interacting positively with a varied clientele in person or on the phone.
  • Computer proficiency with Microsoft Office, Gmail, and Google Applications, and internet, and ability to learn new software.
  • Basic office equipment proficiency: copy, fax, voice mail.
  • Excellent oral and written communication skills.
  • Excellent organizational and time management skills.
  • Ability to prioritize and follow up on assigned tasks in a fast‑paced environment.
  • Ability to complete complex projects independently.
  • Ability to anticipate and respond to needs of managers and agency.
  • Ability to work a flexible schedule, including some evenings and weekends.
  • Bilingual in English and another language preferred.
Physical Demands and Working Conditions

Physical Demands: The employee is frequently required to talk, hear, stand, walk, stoop, balance, kneel, crouch, reach with hands and arms. The incumbent will be required to carry materials weighing up to 40 lbs frequently, and lift to 50 lbs occasionally.

Working Conditions

The work is typically performed in an early childhood school environment, with moderate to loud noise levels. Frequent travel to other site locations is needed. Evenings and weekends are included when required.
