UT Southwestern Medical Center is seeking an Education Assistant to provide essential administrative support for clinical educators and programs. This full-time role in Dallas involves coordinating projects, managing calendars, and ensuring smooth daily operations within the Clinical Education and Professional Practice team.

The candidate should have a High School Diploma with at least 2 years of related experience and strong writing and spelling abilities; a Bachelor's degree is preferred.

Qualifications

Responsibilities

  • Provides responsive, helpful service to internal/external associates and customers, with timely updates and follow-up.
  • Supports programs and clinical educators with administrative duties and workload management.
  • Coordinates clinical projects to meet schedules and deadlines.
  • Delivers high-quality customer service to end users and departments.
  • Assists with department coverage and utilizes downtime to aid others.
  • Performs multitasking administrative tasks including event planning, calendaring, course management, and equipment prep.
  • Manages supplies inventory, reordering as needed and tracking receipts.
  • Communicates issues identified by frontline staff to leadership.
  • Participates in short- and long-term planning within the Clinical Education and Professional Practice team.
  • Acts as liaison across hospital areas to support nursing administration and handle confidential information.

EXPERIENCE AND EDUCATION
Required
  • Education High School Diploma
  • Experience 2 years experience of combination of education and skills and basic writing ability and accurate spelling required.

JOB DUTIES
  • Provides a responsive and helpful demeanor to internal and external associates and/or customers in person or via telephone. Provides department updates and changes to internal/external associates and/or customers. Ensures appropriate follow-up with department leadership team. Able to independently resolve discrepancies.
  • Provides administrative support for programs and/or clinical educators as applicable. Relieves Clinical Education & Professional Practice team members of administrative duties, which involve a thorough understanding of throughput and workload of the department.
  • Coordinates and manages clinical projects and/or programs to ensure target schedules and deadlines are met.
  • Works collaboratively to ensure consistent, high quality customer services is provided to all end users.
  • Facilitates necessary activities to assist with department needs. Provides coverage as necessary for other staff in department. Utilizes downtime to assist others.
  • Demonstrates effective and consistent performance of multitasking administrative duties to include, event arrangements, calendaring, advertisement, course management within applicable systems, and equipment preparation, maintenance, & storage.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Communicate issues identified by front line staff related to new administrative or departmental initiatives.
  • Participate as a member of the clinical Education and Professional Practice team in implementing short- and long-term plans designed to enhance University of Texas Southwestern Hospital.
  • Acts as a liaison with other areas of the hospital and campus. Coordinates support for department or nursing administration. Handles confidential and non-routine information according to established policies.
  • Attends required meetings and performs other duties as assigned.
