About the Organization

The American Song Archives, LLC (ASA) in Tulsa, Oklahoma is the home of the archives of Bob Dylan, Woody Guthrie, Phil Ochs, Tom Paxton, Cynthia Gooding and many other archival and library collections. The ASA welcomes visitors from around the world to the Woody Guthrie Center and Bob Dylan Center—located in Tulsa’s vibrant Arts District and adjacent to the historic Greenwood District—and hosts academics and writers who utilize the archives for scholarly research.

Position Purpose

The Education and Merchandising Assistant will coordinate education and merchandising needs for ASA. They will work independently as well as with team members to engage with students, fulfill merchandise orders and provide general support for the education and gift shop needs. In addition, the Education and Merchandising Assistant will assist with defining and planning Education and Merchandising strategies for a broad range of projects within ASA.

Responsibilities / Essential Duties

  1. Fulfill online orders for Woody Guthrie Center and Bob Dylan Center packing from inventory and coordinating pick up from UPS, USPS, Fedex, etc.
  2. Manage online shop email, responding to all customer correspondence in a timely manner
  3. Count and receive new products, deliveries and transfers into the inventory
  4. Access the off-site storage unit for transferring low stock items
  5. Create quarterly low stock reports for future purchasing
  6. Participate in bi-annual inventory counts
  7. Coordinate with teachers to assist in scheduling and confirm booking of field trips
  8. Prepare educational packets for teachers and students
  9. Welcome school groups upon arrival for field trips
  10. Assist in leading tours and activities
  11. Supervise students during their visit
  12. Provide support to teachers and chaperones, addressing any questions or needs during their visit
  13. Collect and compile feedback from teachers
  14. Communicate with educators and community members to provide information about upcoming programs and events
  15. Assist in promoting education programs at community events
  16. Assist in preparation and execution of educational programming, workshops and events
  17. Occasionally facilitate educational activities and tours for school groups, families and other audiences under the guidance of the Education Manager
  18. Assist in afterschool programming offsite
  19. Other duties as assigned

Requirements

Education and Experience

  1. At least 2 years relevant work experience in education/childcare or customer service
  2. Knowledge in the use of Microsoft Office Suite and retail management software (Shopify, etc)

Skills and Abilities

  1. Strong communication and organizational skills
  2. Ability to work collaboratively and independently
  3. Previous experience in education, preferred
  4. Flexible schedule, including availability for events and weekends
  5. Ability to travel off-site
  6. Strong interpersonal skills
  7. Comfortable with public speaking
  8. Previous retail experience, preferred
  9. Strong organizational skills with ability to manage and prioritize multiple tasks while meeting tight deadlines and maintaining attention to details
  10. Proficiency with both Mac and PC operating systems
  11. Social sensitivity and ability to build internal relationships and communicate realistic solutions to stakeholders/customers

Physical requirements

  1. This position requires frequent standing, walking and lifting equipment for set-up
  2. Ability to sit or stand for long periods of time
  3. Ability to lift 60 pounds

Hours and Location

  1. This is an in-person position based in Tulsa, Oklahoma
  2. Typical hours vary, Monday – Friday as scheduled
  3. The work week will occasionally vary with advance notice depending on scheduled programming and other events; may require evening or weekend hours for special events or tours
  4. Travel may be required

  2. Reliable transportation to attend off site programs
