Job summary

West Virginia University Libraries is seeking an Access Services Student Supervisor for the Downtown Library. You will hire and supervise 20–30 student assistants, manage schedules, and oversee desk operations at the Downtown Access Services desk, including closing the library.

You will train students on stacks maintenance, assist with documentation, and evaluate performance. A Bachelor’s degree and library/customer service experience are required or substituted by relevant work history.

Qualifications

  • Bachelor’s degree required; substantial library or relevant work experience may substitute.
  • Minimum of one year in library or relevant work experience.
  • Minimum of six months supervisory experience preferred.
  • Public / customer service experience is essential.

Responsibilities

Description

The West Virginia University Libraries is currently accepting applications for an Access Services Student Supervisor for the Downtown Library.

About the Opportunity

Hire and supervise the student assistants at the Downtown Library, carry out departmental operations and provide services at the Downtown Access Services desk. Spend most of time at the public service desk, working with users and student employees. Responsible for closing the library.

What You'll Do
  • Hire, schedule, approve timesheets, evaluate, and direct 20-30 student assistants in the department. Prepare an annual budget request for work-study and non-salary student employees based on department needs, salary of different student employees, work-study awards and hourly wage. Track expenses for each student, including work-study grants. Monitor budget throughout the year and notify Director of Access Services of any shortages or other issues.
  • Responsible for initial training of students specializing in stacks maintenance and the public service desk. Create a prioritized list of tasks (shelving, desk, shelf reading, searching, etc.) for student employees and ensure work in the department is timely and accurate. Assist with documentation for use in student training. Write evaluations for all Downtown Library Access Services students, after getting input from other staff in the department.
  • Develop and coordinate in partnership with the Health Sciences and Evansdale Libraries’ student supervisors a comprehensive training program for library student employees, ensuring alignment with organizational goals, policies, and best practices, while fostering a supportive and inclusive learning environment.
  • This position may work outside of standard business hours and assumes responsibility for overseeing operations, including overseeing all Access Services and resource sharing transactions during these hours. Ensure user safety and building safety and maintenance during those same hours. Responsible for closing the library.
  • Assigned to regular shifts at the Downtown Access Services Desk. Respond to user questions, assisting with basic reference questions and/or questions about databases, searching, and/or finding materials. Has a good understanding of library policies to answer questions that may arise.
  • Provide customer service and respond to user inquiries using a thorough knowledge of the WMS system, including all types of circulation transactions in WMS; charging, discharging, and renewing materials; assisting users in locating and/ or requesting materials, questions regarding fines and bills, etc.; creating or editing user records; issuing Friend of the Library cards; etc. Refer the user to the appropriate department, or the proper help desk as needed.
  • Provide customer service and respond to user resource sharing inquiries using a strong understanding of ILLiad and may include charging, discharging, and renewing borrowed materials in ILLiad; an understanding of ILL policies.
  • Provide service and respond to technology questions at the desk through a strong understanding of computer or printing software used and/or supplied by the library. These might include, but are not limited to, questions about or assistance needed with assistive technology, public printing, microfilm machines, logging into computers, circulating technology and A/V, and study room reservations. Manage and assist with the poster printing process based on user specifications.
  • On occasion, may be assigned to any WVU Library Morgantown Campus access service desk to provide emergency coverage.
  • Supervise all student employees working during desk shifts. This involves supervising student assignments and ensuring the work of the department done by students is timely and accurate.
  • Assist with ETD processing for all WVU Libraries locations and assist with the ETD submission process via email, phone calls or face-to-face interactions and approving submissions. This requires review of ETD submissions, ensuring all necessary documentation is provided for formatting, and publishing prior to approval. Work collaboratively with KARM and Scholarly Communications Librarian.
  • Other duties as assigned.

Pay Grade: 14

Hours: Mon-Fri 9am-5pm

Qualifications
  • Bachelor’s degree. Substantial library or relevant work experience may be substituted.
  • A minimum of one (1) year in the following:
    • Library or relevant work experience
    • Public / Customer Service experience
  • A minimum of six (6) months supervisory experience preferred
  • Any equivalent combination of related education and/or experience will be considered
  • All qualifications must be met by the time of employment
Knowledge, Skills and Abilities
  • A strong public service attitude and strong interpersonal skills to interact with colleagues in the WVU Libraries, the university and partner libraries.
  • Must be dependable, adhering to scheduled shifts and promptly communicating any scheduling changes or relevant information to supervisor and/ or library units.
  • Demonstrated knowledge of academic library operations; has general knowledge of the Library of Congress classification system, electronic catalogs, and others.
  • Excellent oral and written communication skills
  • Ability to operate and maintain basic office and library equipment such as Microsoft Office and email software

Ability to learn and utilize circulations and research programs such as WMS Circulation, WorldCat Discovery, EBSCO EDS, Microsoft Office products and Confluence

Physical Effort
  • Must be able to push or pull heavy book trucks (up to 100 lbs)
  • Must be able to carry stacks/boxes of books (up to 30 lbs)
