Essential Functions
Donor Database Administration & Gift Tracking
  • Administer DonorPerfect, including donor and prospect records, household and organization relationships, giving history, and constituent coding.
  • Establish data entry standards, security permissions, user workflows, naming conventions, and coding structures (funds, campaigns, and appeals).
  • Coordinate accurate and timely recording of gifts, pledges, recurring contributions, soft credits, and in-kind support; partner with Finance to reconcile transactions and resolve discrepancies.
  • Manage data imports from events, online giving, and other approved sources; conduct duplicate checks, audits, and database cleanup.
  • Protect donor confidentiality, maintain access controls, and document procedures for consistent CRM use.
Letter Campaigns & Donor Communications
  • Coordinate annual appeals, direct-mail and email solicitation campaigns, renewal letters, and acknowledgment correspondence under approved fundraising plans.
  • Prepare segmented lists, mail merges, campaign calendars, tracking codes, and fulfillment files in collaboration with Marketing and the CDO.
  • Track campaign responses, revenue, donor participation, retention, and results; maintain accurate recognition lists and donor preferences.
  • Manage the full gift acknowledgement cycle, including generating timely tax receipts and thank-you letters.
  • Analyze campaign and donor data to identify giving trends, segment performance, and opportunities for upgrade, reactivation, and retention; recommend data-informed adjustments to future appeals.
Ribbon Cuttings & Organizational Events
  • Maintain donor portfolio assignments, contact histories, cultivation stages, solicitation amounts, expected close dates, next steps, and stewardship deadlines for the CDO and Individual Giving Manager.
  • Prepare routine fundraising dashboards covering revenue versus goal, donor retention, new and lapsed donors, recurring gifts, pledge balances, campaign performance, and prospect pipeline.
  • Generate accurate reports for executive leadership and department planning, identifying trends and follow-up needs.

  • Track and report individual and collective fundraising participation, gifts, pledges, sponsorships secured, introductions, referrals, ticket/table commitments, and in-kind contributions, as applicable.
  • Maintain committee activity dashboards and reports showing outreach, solicitation status, commitments, follow-up tasks, participation, and progress toward approved goals.
  • Prepare regular board and committee fundraising reports and meeting-ready summaries for the CDO and appropriate staff leadership.
  • Coordinate with event and individual giving staff to ensure committee-related contributions and engagement are accurately attributed without double-counting revenue.
  • Maintain confidential, accurate records and provide timely updates to support accountability and stewardship.
Collaboration & Process Improvement
  • Work with the Director of Grants to provide requested development data and maintain consistent reporting standards; coordinate with the CDO on fundraising reporting priorities.
  • Train authorized team members on database entry standards, portfolio documentation, reporting workflows, and committee activity tracking.
  • Create and maintain standard operating procedures, report templates, and recurring reporting calendars.
  • Perform other related duties as assigned.
