Job summary

Classical KING, a nonprofit serving the Pacific Northwest, seeks a Donor Relations Coordinator to be the primary customer service voice for our largest donor family. In this in-office role, you will manage gift processing, acknowledgements, record keeping, and donor benefits under the Director of Advancement Operations.

You will liaise with colleagues and vendors, maintain donor records for data hygiene, and support the advancement team with cross‑training and portfolio management.

Qualifications

  • Prior donor or customer-facing experience.
  • Excellent verbal and written communication skills.
  • 2+ years in an administrative role (data entry, calendar management, events, project management, or customer service).
  • Bachelor’s degree or equivalent education/experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with fundraising databases is helpful.

Responsibilities

  • Manage donor relations phonelines and email inboxes; respond to inquiries, address payment failures, and engage donors for increased support.
  • Produce and send acknowledgement letters, tax receipts, donor collateral, and other communications.
  • Fulfill donor thank you gifts with vendors and donors to ensure timely delivery of premiums.
  • Provide back‑training support for gift processing and cross‑training on giving formats.
  • Support the Philanthropy team and portfolio management tasks as needed.
  • Create, update, and maintain donor records; ensure data hygiene and align tools with priorities.
  • Support the Director of Advancement Operations to meet department needs.
  • Foster a culture of giving and strong donor engagement across activities.

Classical KING serves a diverse and growing audience in the Pacific Northwest and beyond, strengthening our community through music, the arts, and creative connection. For decades, we have connected listeners with classical music while supporting the artists and organizations that shape the cultural life of our region. Today, we reach audiences through 98.1 FM across Western Washington and into British Columbia, as well as through free streaming on our app, website, smart speakers, and other digital platforms, making our service accessible to listeners wherever they are.

As an independent nonprofit supported by listeners, grants, and sponsors, Classical KING is co-located with Seattle Opera at Seattle Center, the cultural heart of the Pacific Northwest. With broad reach, a diverse audience, and few barriers to access, Classical KING has long served as a central hub for the arts, connecting artists, organizations, and audiences across the region, and is now extending that role into the digital spaces where audiences engage today. Our work has a direct and visible impact on the artists we support, the organizations we partner with, and the audiences we serve.

The Donor Relations Coordinator is a critical voice for the organization, serving as the primary customer service representative for Classical KING’s largest donor family. They will liaise with colleagues and vendors to ensure timely and accurate gift processing and acknowledgements, record keeping, and donor benefit fulfillment. The role touches a broad range of tasks and initiatives that support the advancement team. This is a full-time, in office role reporting directly to the Director of Advancement Operations.

Role Responsibilities
  • Manage the donor relations phonelines and email inboxes; deftly understanding each supporter’s needs, responding to inquiries sincerely and efficiently, addressing payment processing failures, and leveraging opportunities for increased engagement.
  • Produce and send acknowledgement letters, tax receipts, donor collateral, and other transactional communications in alignment with policies and procedures.
  • Fulfill donor thank you gifts in association with fundraising drives and other donor programs; liaise with vendors, fulfillment centers, and donors to ensure quality products and timely delivery of premiums.
  • Provide back‑training support for gift processing, especially during high volume periods, with full cross‑training on all giving formats and related procedures.
  • As needed, support the Philanthropy team as a backup for performance circle phonelines and email inboxes as well as administrative and database duties pertaining to portfolio management.
  • Create, update, and maintain donor records; serve as a key partner in ensuring data hygiene, regularly supporting projects to align the database and related tools with departmental priorities.
  • Support the Director of Advancement Operations to meet the needs of the department as assigned.
  • Be committed to understanding and addressing the needs and inter‑dependence within the organization and of the Advancement team in particular; use personal and professional skills to set others up to succeed; support effective donor engagement and relationship management in and through all activities to help create a culture of giving.
Candidate Qualifications
  • Previous donor/customer facing roles providing exceptional customer service.
  • Excellent verbal and written communication skills.
  • 2+ years in an administrative role (i.e. data entry, correspondence, calendar management, event planning, project management, and/or customer service). Experience in fundraising or non-profit organizations a plus.
  • A bachelor’s degree or equivalent education/experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Outstanding diligence, planning, and organization; experience with Asana or other project management tools desired.
  • Comfortable with technology, able to learn new tools with ease; experience with fundraising databases and related tools helpful.
