Job description

The Donor Relations Coordinator provides critical strategic leadership and support to the Krieger School of Arts & Sciences, working with the Senior Associate Director of Donor Relations, serving as part of a team committed to ensuring donors are properly acknowledged for their giving and provided reporting that their gifts are being used as they were intended.

The position works to strengthen and advance the relationships the Krieger School of Arts & Sciences has with their principal gift donors and permanent stewardship donors by working to proactively facilitate effective stewardship activities, including acknowledgements, financial reporting and creative stewardship touches.

The Donor Relations Coordinator will be responsible for assisting with stewardship processes and activities for the Donor Relations team. The position works proactively to facilitate effective stewardship activities for donors, leadership volunteers, and other constituents as necessary.

Specific Duties & Responsibilities
  • Draft personalized and timely acknowledgment letters to donors, using appropriate templates as guides, for leadership signatures.
  • Serve as liaison with all divisional development offices on gift acknowledgments and with the Office of Stewardship and Donor Engagement (SDE) to ensure that acknowledgments are drafted according to the proper guidelines.
  • Assist with coordination of regular updates to acknowledgment template letters.
  • Monitor progress, tracking, and data management of acknowledgments, from approval to completion.
  • Organize regular meetings with gift officers to review the status of stewardship actions and coordinate their completion; enter and track date; maintain familiarity with histories of dormant and permanent cases and support gift officers in completing cases.
  • Support the Donor Relations team for stewardship mailings and data entry
  • Assist with outreach to departments for stewardship reports, including securing content on beneficiaries, impact stories, and award winners.
  • Assist with other stewardship-related projects and events as needed.
  • Coordinate and proactively manage tasks to prepare for upcoming meetings and events, which includes scheduling, preparing documents and agendas, logistics, and disbursement of pertinent information to attendees.
  • Maintain the annual stewardship calendar, which includes proactively completing tasks, tracking deadlines, and prompting the team when various actions are due.
  • Maintain records and ensures that gift, donor, and recipient information is tracked appropriately.
  • Provide administrative support to the Donor Relations Team.
  • Other duties as assigned

In addition to the duties listed above, the Donor Relations Coordinator will:

  • Draft personalized and timely acknowledgment letters to donors using appropriate templates as guides. Tracks these acknowledgements from week to week and uploads into DAR CRM database (JHAS). Additionally manages sending if In Memory Of (IMO) and In Honor of (IHO) messaging. Partners members of Donor Relations (DR) team on VIP acknowledgements.
  • Support the annual process of refreshing acknowledgment template letters, utilizing own writing skills, AI and other relevant tools to draft updates and managing the review process with the Senior Associate Director of Donor Relations and team.
  • Create and designs stewardship videos for variety of KSAS donors using the ThankView Platform, in collaboration with the Senior Associate Director of Donor Relations and the rest of the DR team.
  • Collaborate with the DR team to research and gather comprehensive content for impact reports by liaising with faculty and students, utilizing internal and external online resources, and navigating the DAR CRM database (JHAS).
  • Provide crucial administrative support to the DR Team. This may include triaging the DR email inbox, JHAS entries, calendar management for the Senior Associate Director of Donor Relations, drafting of agendas, project management support, liaising with Central Stewardship and Donor Engagement (SDE) Team and more. In close partnership with SDE, proactively tracks faculty changes for the endowed professorships and initiates outreach to faculty and donors to gather biographical information and photos to update the professorships website.
Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Three years of related experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
  • Bachelor’s degree
  • CRM knowledge, preferably Salesforce

  • Strong proficiency in Microsoft Office, particularly Word and Excel
