Part-time internship (~12–15 hours/week, with potential increases during busy season). The role emphasizes event planning, administrative support, and collaboration with campus partners.

Qualifications

  • Oklahoma State University student in good standing; hospitality and tourism management preferred but not required.
  • Proficiency in basic information systems and Microsoft Office tools.
  • Strong written and verbal communication, teamwork, and reliability.
  • Self-motivated with ability to learn quickly and work with minimal supervision.
  • Good time management and organizational skills with attention to detail.

Responsibilities

  • Assist with planning and execution of donor events from start to finish.
  • Support event logistics including registration, setup, on-site support, and tear-down.
  • Help with pre- and post-event documentation and data in Linvio Events module.
  • Maintain inventory of event materials and supplies.
  • Prepare address labels, mailings, and name tags for events.
  • Assist with ticket packaging, distribution and related mailings.
  • Respond to phone calls and emails to provide timely service to stakeholders.
  • Other duties as needed.

DEPARTMENT PURPOSE:

The Marketing & Donor Experiences team, which falls within the Development team at the OSU Foundation, collaborates with internal and external partners to provide strategic, integrated marketing, communication, creative services and special events expertise to achieve our mission of serving Oklahoma State University and providing our donors with impactful, dynamic and engaging experiences.

PRIMARY PURPOSE:

The Donor Experiences Intern supports the Oklahoma State University Foundation by assisting with the planning and execution of both large- and small-scale donor events. This role plays an important part in ensuring events run smoothly from initial planning through post-event wrap-up. The intern will work closely with the Donor Experiences team to coordinate details, provide logistical support and contribute to delivering high-quality, memorable experiences for OSU donors.

This position requires approximately 12-15 hours per week, with a flexible schedule between 8 a.m. and 5 p.m., Monday through Friday. Upon busy event season, this position may be asked to increase working hours to 18 – 25 hours per week. Some after-hours work at evening and weekend events may be required.

KEY AREAS OF FOCUS:

Primary Responsibility – Event Planning & Execution (50%)

  • Attending planning meetings, as appropriate, to gain insight into the event planning process.
  • Assisting with event logistics, including registration, set-up, on-site support, and tear-down, to gain hands‑on experience with events from start to finish.
  • Supporting event data management by helping with pre- and post-event documentation in the Linvio Events module.

Primary Responsibility – Administrative & Operational Support (50%)

  • Maintaining an accurate, up-to-date inventory of event materials and supplies.
  • Preparing address labels, mailings, and name tags for events and communications.
  • Assisting with ticket packaging, distribution and related event mailings.
  • Responding to phone calls and emails promptly to provide excellent service and support to internal and external stakeholders.

Other duties as needed.

JOB COMPETENCIES AND EXPERIENCE:
Education & Certifications-
  • Oklahoma State University student in good standing with the university. Pursuing a degree in hospitality and tourism management, or related fields preferred, but not required.
Experience-
  • Knowledge of basic information systems
  • Proficiency in Microsoft Office products
  • Written and verbal communication
  • Creative, motivated, passionate, and team player
  • Self-starter with the ability to get up to speed quickly and work effectively with little direction or supervision
  • Time management and organizational skills with efficient decision‑making capabilities and attention to detail
PHYSICAL REQUIREMENTS:

Must use a computer terminal and view a computer screen for extended periods of time. Must talk in person or by phone (frequently and sometimes for extended periods) to people on campus and across the country. Must constantly use visual acuity to check printed and designed materials of various types. Must be able to navigate within the OSU Foundation. Typical office working conditions. Must be able to lift up to 50 pounds and be able to stand for extended periods of time.
