Job summary

The School of the Art Institute of Chicago (SAIC) Advancement Office seeks a Donor Relations and Engagement Coordinator to manage logistics for donor, alumni, and institutional events. You will coordinate events, handle materials, and maintain records under supervision from senior staff.

Ideal candidates bring 1–2 years in admin/event support, proficiency with Microsoft Office and Google Workspace, and experience in fundraising or arts organizations. Some evenings and weekends required.

Qualifications

  • Bachelor’s degree or current enrollment in a bachelor’s program.
  • One to two years in administrative support or event coordination.
  • Experience with Microsoft Office and Google Workspace.
  • Willingness to work evenings and weekends for events.
  • Experience in fundraising, advancement, nonprofit, higher education, arts, or cultural organization.
  • Proficiency with CRM or donor databases.
  • Strong organizational and communication skills.

Responsibilities

  • Coordinate logistical arrangements for donor, alumni, and institutional events, including room reservations and catering.
  • Maintain event calendars, timelines, and tracking documents.
  • Track registrations, RSVPs, guest lists, and attendance.
  • Prepare invitations, name tags, signage, and programs.
  • Assist with vendor research, cost estimates, and services.
  • Provide onsite event support and post‑event wrap‑up.
  • Respond to event inquiries and communicate logistics to partners.
  • Assist with budget tracking and invoice processing.
  • Support donor stewardship materials and mailings.
  • Enter and update data in Advancement systems and databases.
  • Organize files related to events and donor relations.
  • Perform other duties to support the Office of Advancement.
