Job summary

Partners 1st Federal Credit Union is hiring a part-time Records/Office Assistant at our Fort Wayne, IN location. You will perform document scanning, sorting, mailing tasks, and assist with supplies, helping keep our branches connected and operations smooth.

This role emphasizes accuracy, reliability, and friendly service. Requires high school diploma or GED, valid driver's license, and the ability to lift up to 40 lbs; schedule is Mon 9:30am-4:30pm, Tue off, Wed-Fri 9:30am-4:30pm.

Qualifications

Responsibilities

  • 65% Perform document scanning, sorting, indexing and auditing of physical and electronic documents.
  • 15% Fill supply requests for all branches and deliver to local locations.
  • 10% Prepare and sort mail, manage postage, and ship items to branches.
  • 5% Stock supplies and assist with filing and shredding as needed.
  • 5% Other duties as assigned and comply with laws and policies.

Job description

This position is for U if you are a friendly, professional, and courteous person with strong attention to detail, great organizational skills, and are able to work at our Directors Row location, Fort Wayne, IN, part-time, 26 hrs/wk, with a schedule of:

Mon: 9:30am-4:30pm, Tues: Off, & Wed-Fri: 9:30am-4:30pm

Role

Performs document sorting, scanning, indexing, auditing, and maintenance. Receives and stocks incoming office supplies. All aspects of incoming and outgoing mail, including shipping supplies to non-local branches, pickup and delivery of incoming and outgoing mail and supplies to local branches and all interoffice mail.

Major Duties and Responsibilities

65% Perform document scanning duties, including sorting, scanning, indexing and auditing both physical and electronic documents.

15% Fill supply requests for all branches. Makes pickups and deliveries to local branches, Annex, and Post Office Box.

10% Prepares, prints, and sorts mail. Sorts incoming mail and packages, opens envelopes and/or packages by machine or by hand and provides timely distribution to appropriate department or person. Packages deliveries of outgoing mail and packages. Runs outgoing daily letter mail through inserter and postage machine and examines mail for correct addresses, appearance and makes corrections as needed. Packages and ships items to outlying branches. Ensures the proper postage is applied. Packages UPS items and prints UPS labels.

5% Answers the back door, puts away and stocks supplies, keeps on top of document retention and/or shredding. Breaks down boxes for recycle.

5% Other duties as assigned

Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control, in addition to all company policies.

Physical Requirements

Perform work with physical exertion and lifting of up to 40lbs. Must be capable of climbing / descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

Working Conditions

Must be able to routinely perform work indoors and outdoors driving and delivering items between locations.

Mental and/or Emotional Requirements

Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
