Job summary

WSP USA is seeking a Document Control Specialist to join our Project Controls team in a position located in Texas/Arkansas/Louisiana. The role focuses on maintaining a robust document management system for contract and project documents and supporting the EDMS environment.

You will work with the Document Control Manager and team to ensure policies are followed, streamline workflows, and support project teams with document handling, naming conventions, and distribution.

Qualifications

  • Bachelor's Degree or equivalent experience.
  • 3-5 years of project experience in a Document Control or similar role in transportation infrastructure development or the construction industry.
  • Must have experience with Microsoft Office.
  • Experience with SharePoint, Bluebeam and Microsoft 365 is preferred.
  • Excellent organization, coordination, and prioritizing skills.
  • Strong reading, comprehension, and written retention skills.
  • Exhibit good problem solving skills and superior attention to details.

Responsibilities

  • Support the Document Control Manager and Document Control Team to maintain a document management system for contract documents and project documents.
  • Ensure policies and procedures are followed within the team.
  • Help implement an efficient work-flow process and monitor daily activity.
  • Work within the existing Electronic Document Management System (EDMS).
  • Provide Document Management support to the entire project team.
  • Retrieve files, upload/download, manage naming conventions and distribution.
  • Process incoming/outgoing documentation and maintain electronic records to meet contractual requirements.

WSP is seeking a Document Control Specialist to join our Project Controls team. This is a position located in either Texas/Arkansas/Louisiana locations.

Your Impact

Duties and Responsibilities:

  • Support the Document Control Manager and Document Control Team to maintain a document management system for contract documents and project documents.
  • Work with the Document Control Manager and Document Control Team to ensure policies and procedures are being followed.
  • Help implement an efficient work-flow process, monitor daily activity, and implement modifications.
  • Work within the existing Electronic Document Management System (EDMS).
  • Knowledge of document management process, procedures, and systems.
  • Provide Document Management support to the entire project team.
  • Retrieve files, Upload / Download files, Manage Document Naming Convention, numbering, assigning, and distribution.
  • Process Incoming/Outgoing documentation. Ensure that electronic record files as required are maintained in good order to comply with contractual requirements.
  • Familiar with the Submittal and RFI Packages Procedure and Processes.
  • Work with project department leads to ensure timely processing of documentation.
Who You Are

Minimum Qualifications:

  • Bachelor's Degree or equivalent experience
  • 3-5 years of project experience in a Document Control or similar role, working in transportation infrastructure development or the construction industry.
  • Must have experience with Microsoft Office
  • Experience with SharePoint, Bluebeam and Microsoft 365 is preferred.
