Job Description
Position Summary:

We are seeking a Document Control Manager to oversee document control processes, systems, and governance for a construction program. This role will manage controlled document workflows, support compliance with client and program requirements, coordinate system users, and ensure project records are accurate, secure, accessible, and maintained throughout the program lifecycle.

Key Responsibilities
  • Develop, maintain, and administer document control procedures for identifying, collecting, distributing, filing, preserving, and retrieving controlled program records.
  • Administer and improve management platforms, including Procore, SharePoint, and related tools, to support construction workflows and operational efficiency.
  • Ensure document control processes, information management systems, permissions, and records practices align with client standards, program requirements, governance policies, and applicable compliance obligations.
  • Provide training, guidance, and user support to promote consistent use of document control procedures, systems, and compliance practices.
  • Conduct audits, QA/QC reviews, metadata checks, and spot reviews to maintain document quality, accuracy, and procedural compliance.
  • Safeguard confidential and protected information by managing secure storage, handling, distribution, access permissions, and retention practices.
  • Collaborate with IT, project teams, and cross-functional stakeholders to resolve system issues, support process improvements, and advance document control best practices.
  • Lead, mentor, and support team members while promoting effective system use, governance, and continuous improvement.
Required Skills And Competencies
  • Advanced proficiency with Microsoft Office applications and word processing tools.
  • Knowledge of document, records, and data management systems, procedures, and best practices.
  • Strong organization, prioritization, multitasking, and attention to detail, with the ability to manage competing deadlines and changing priorities.
  • Excellent written, verbal, presentation, client service, and stakeholder communication skills.
  • Sound business judgment, proactive problem-solving skills, and the ability to work independently or collaboratively within multidisciplinary teams.
  • High level of discretion and reliability when handling confidential information.
Minimum Qualifications
  • Bachelor’s degree in engineering, Architecture, Construction Management, Business, or a related field; 7-10 years of document control experience.
  • Experience supporting large-scale construction, infrastructure, transportation, or energy programs.
  • Prior experience managing document control teams or coordinating document control activities across multiple project stakeholders.
  • Familiarity with construction closeout documentation, audit readiness, records retention, and compliance reporting.
  • Experience developing standard operating procedures, training materials, user guides, or governance documentation for document control systems.
  • Ability to identify process gaps, recommend improvements, and support system enhancements that improve document control performance.

Compensation

Expected Salary (all locations): $111,400 - $165,440

WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant’s education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant’s sex or other status protected by local, state, and/or federal law.
