Thanks for your interest in Oklo! We are seeking a Document Control specialist to join our team.

Position Description

The Document Control specialist is responsible for the day-to-day execution of Electronic Document Management System (EDMS) workflows to enable creation, revision, and use of documents to meet business and regulatory requirements.

Responsibilities
  • Process approved documents for release, ensuring only latest versions are in circulation
  • Meet document-action requests for creation, revision, and cancellation of documents
  • Perform quality control checks on submittals\' document control elements (e.g., title, ID, version, approval, headers/footers, history)
  • Ensure and maintain proper access permissions and document metadata in EDMS
  • Provide first-line user support on EDMS tools, workflows, and document requests
  • Troubleshoot file access/availability, directing staff to guidance resources or escalating issues when necessary
  • Facilitate SME reviews for comment resolution
  • Generate status/metrics reports as required
  • Support QA audits, surveillances, and management assessments by providing requested documents for review
  • Contribute to records-related tasks as needed
  • Maintain confidentiality regarding various types of sensitive information
  • Assist with maintaining templates and forms as needed
  • Support Document Control Manager in programmatic initiatives and process improvement
What we are looking for
  • Experience with an EDMS for document control or records management in a technical, engineering, scientific, government, legal, or business setting
  • Knowledge of nuclear QA regulations (ASME NQA-1) and how document control supports compliance
  • Understanding of integrated safety management and change/configuration control in document control
  • Principles of document/information/content lifecycle management
  • Proficiency with MS Word/Excel, Gmail/Calendar, Adobe Acrobat Pro, EDMS systems (e.g., SharePoint, Documentum, Devonway); familiarity with Box, Slack, Confluence, Jira
  • Typing and data entry skills

Minimum Qualifications
  • 5+ years in a regulated industry (nuclear strongly preferred), with 3+ years in document management
  • Associate degree required; Bachelor’s degree preferred
  • Remote work capability and experience with video conferencing and cloud-based apps
  • Willingness and ability to travel ~15% of workdays
Bonus Qualifications
  • Experience performing or supporting technical writing/editing, word processing, or document layout/formatting
