Job summary

Stanley Consultants is seeking a Document Control Specialist to manage project electronic documentation and facilitate the design review process. This hybrid role offers location options including Des Moines, IA, and Muscatine, IA, with responsibilities across the project lifecycle.

You will provide training on document control, maintain repositories, perform quality reviews, and support closeout documentation while ensuring compliance with legal and regulatory requirements.

Qualifications

  • BS in information management field or equivalent work experience required.
  • 5+ years of experience supporting/maintaining electronic document management systems.
  • Experience with maintaining/managing document metadata tags, naming conventions, document retention policies.
  • Experience developing file categories and indexing structures for materials under a records management system.
  • Detail oriented with consistency in maintaining quality control standards.

Responsibilities

  • Provide guidance and training on document control processes to the Project Management Team members.
  • Maintain document repositories to verify documents are filed correctly and in accordance with requirements.
  • Perform quality reviews to verify documents are filed per conventions and data structure requirements.
  • Support project staff in project closeout documentation.
  • Manage final and published documents as project records in compliance with requirements.
  • Work on workflow processes and document storage.
  • Maintain the Project Document Control Plan and train the team on processes.
  • Support end users on document filing in electronic systems.
  • Perform document loading functions for project teams.
  • Manage and control document processes and logs for the project(s).
  • Address questions/issues from end users.

Stanley Consultants is currently looking for a Document Control Specialist. This position manages project electronic documentation and facilitates design review process.

What You Will Be Doing:
  • Provide guidance and training on document control processes to the Project Management Team members
  • Maintain document repositories (Project Wise, Client PMIS systems and hardcopy files) to verify that documents are filed correctly and in accordance with business, legal, and regulatory requirements
  • Perform quality reviews to verify that documents are filed in accordance with the established document control conventions, processes and data structure requirements
  • Support project staff in project closeout documentation
  • Manage final and published documents as Project records and in accordance with business, legal and regulatory requirements.
  • Workflow processes and document storage
  • Maintains the Project Document Control Plan and provides guidance and training on document control processes to the project team members
  • Support from end users on document filing in electronic systems
  • Performs document loading functions in support of the project teams
  • Manage and control the various document processes and logs for the project(s)
  • Address questions/issues from end users
Required Qualifications:
  • BS in information management field or equivalent work experience required
  • 5+ years of experience supporting/maintaining electronic document management systems
  • Experience with maintaining/managing document metadata tags, naming conventions, document retention policies, and other aspects as current document management solutions
  • Experience developing file categories and indexing structures for a wide variety of materials (both hardcopy and electronic) under a comprehensive records management system
  • Detail oriented with strong affection toward consistency and persistence in maintaining quality control standards and conventions
