Job summary

Bowman in Tucson, AZ is looking for a Document Control Coordinator I to join our team. You will manage document control processes for mining sector projects, ensuring accurate submission, distribution, tracking, and retention of project documentation.

This role supports project management with reporting and compliance to help ensure on-time, compliant project delivery. Responsibilities include coordinating with engineering, survey, contractors, and vendors; organizing transmittals and documents;

Qualifications

  • High School Diploma required; Associate’s degree preferred.
  • Entry level position within document control.
  • Proficient in Microsoft Office Suite.
  • Adept at planning, organizing, and attention to detail.
  • Experience with document management and editing software is preferred.
  • Experience with Bluebeam Revu or similar tools is a plus.

Responsibilities

  • Coordinate document control activities for mining sector projects.
  • Prepare, organize, track and distribute correspondence, transmittals and documents.
  • Manage project documents and document management systems.
  • Coordinate with accounting and project management on contract administration and project setup.

Purpose

Manage document control processes for mining sector projects, ensuring the accurate submission, distribution, tracking, retrieval, and retention of project documentation. Maintain document management systems and workflows, monitor document status, transmittals, reviews, approvals, and returns, and provide reporting and support to project management to help ensure compliance, schedule adherence, and successful project delivery.

Responsibilities

Leadership and Direction

  • Perform work under moderate supervision. Receive direction on moderately complex assignments, tasks, and execution from Document Control Supervisor.This role helps ensure projects are executed efficiently, on time, and within budget while gaining foundational experience in project delivery within a professional services environment.

At the Operational and Company Level

  • Assist with enhancing relationships with existing and/or potential clients by acting as point of contact for critical documentation exchange.
  • Support sector initiatives for clear and efficient organizational methods across all mining projects allowing for efficient exchange of information between Bowman internal resources and client, contractors and vendors.

Do the Work

  • Coordinate project activities, including contact with engineering, survey, contractors, field observation, or related work.
  • Coordinate development activities for multiple projects.
  • Prepare, organize, track and distribute correspondence, transmittals and documents or directives from engineering, construction management, contractors and vendors.
  • Management of project documentsand management systems to support project organization and effective communication with all project participants.
  • Coordinate with Accounting and Project Management on contract administration, proposal processing, project setup, and the maintenance of accurate project records within company systems.
  • Support cost control and project budgeting/forecast with data derived from document management system (i.e. completion %, forecasting etc.)
  • Editing of project specifications/reports/plans with oversight from engineering and project management.
  • Preparation and editing, tracking of proposals for mining project marketing purposes in coordination with marketing and sector management team.
  • Document decisions and direction provided by Document Control Supervisor/PE/Project Manager.
  • Prepare necessary presentation materials for meetings.
  • Assess and document project risks and issues and provide solutions where applicable.
  • Aid with submittals to local/state/federal municipalities and/or agencies.
  • Communicate verbally and formally with customer representatives, contractors, and engineers
  • Serve as a member of the Activities Committee, assisting with the planning and coordination of employee engagement activities and company events.

Qualifications
  • High School Diploma required. Associate’s degree preferred.
  • Entry level position.
  • Fluent in Microsoft Office Suite.
  • Adept at planning and organizing with high level attention to detail
  • Adept at working on spreadsheets or other project management tools to organize information.
  • Office experience in the field of Architecture, Engineering, or Construction preferred
  • Experience with Bluebeam Revu or other comparable document management and editing software program preferred.
  • Competency and experience with setting up and/or managing document management software programs (e.g. – Autodesk Forma, SharePoint, Aconex or similar)
  • Ability to providegeneral editing and format professional reports preferred.
