Primary Function

The Document Administration Specialist I is an entry-level generalist role responsible for tasks such as receiving, cataloging, and shipping collateral and servicing documents to third parties, reviewing mortgage servicing documents, placing vendor orders, responding to customer requests, data entry, and research.

This role involves heavy communication with vendors and servicing partners to ensure timely document management.

Principal Duties:
  • Identify, process, and research documents like Lien Releases, Assignments, Allonges, Lost Note Affidavits, etc., for loans serviced by Newrez & Shellpoint.
  • Review loan documentation for accuracy and completeness.
  • Complete requests within SLAs.
  • Request collateral files from custodians to support Loss Mitigation, Bankruptcy, and Foreclosure.
  • Respond professionally and promptly to inquiries.
  • Review task queues and reports to ensure duties are completed timely.
  • Update systems with actions and follow-ups.
  • Maintain MERS database and inventory of physical and digital documents.
  • Process and ship requested documents and files.
  • Ensure inventory accuracy and perform monthly audits.
  • Perform other duties as assigned.

*These functions are essential and require on-site presence. Partial on-site work may be necessary for non-essential tasks.

Education and Experience
  • High school diploma or equivalent required.
  • Associates or bachelor’s degree preferred.
Knowledge, Skills, and Abilities
  • Basic understanding of mortgage documents.
  • Ability to handle confidential information professionally.
  • Strong interpersonal and communication skills.
  • Time management and prioritization skills.
  • Proficiency in MS Office.
