Position Overview

IDOC is looking to hire an Office Coordinator to serve as administrative secretary. In addition, this position will maintain confidentiality of materials that are highly complex and sensitive in nature, access the contract database to research and provide information for various reports, compile and keyboard information, coordinate timekeeping and recommend new and improved methods and procedures. Essential Functions
  • Serves as an administrative secretary.
  • Maintains confidentiality of materials which are of a highly complex and sensitive nature.
  • Accesses contract database to research and provide information for various reports.
  • Compiles and keyboards information to assist in responding to inquiries from statewide field staff to clarify contract issues and procedures.
  • Coordinates timekeeping for the Sourcing/Contract Management Section, supplying time off slips and daily attendance records to the timekeeper on a daily basis.
  • Recommends new and improves methods and procedures related to Section's transactions, reports and files.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial/business college,OR completion of high school and two (2) years related office experienceOR two (2) years of independent business experience.
  • Requires the ability to keyboard accurately at 30 words per minute.
Preferred Qualifications
  • Prefers at least one (1) year of work experience dealing with sourcing and/or contract management with multiple vendors in a large organization.
  • Prefers at least one (1) year of work experience gathering information for report preparation.
  • Prefers at least two (2) years of work experience working with confidential materials which are of a highly complex and sensitive nature.
  • Prefers at least one (1) year of work experience responding to inquiries from higher level staff and different vendors.
  • Prefers at least one (1) year of work experience serving as a timekeeper and/or maintaining accurate time and attendance records.
  • Prefers at least one (1) year of work experience processing requests for proposals and/or invitations for bids.
  • Prefers at least one (1) year of work experience in the procurement process.
  • Prefers intermediate proficiency using Microsoft Word, Excel, and Outlook and/or similar type of computer programs.
Conditions of Employment
  • Requires ability to pass the IDOC/IDJJ background check.
