Job Summary

The College of Arts and Sciences at CU Boulder invites applicationsfor the Divisional Affairs Manager position! This role for theDivision of Social Sciences reports to the Senior Strategic Advisor& Director of Divisional Affairs (SSA), with a dotted line tothe Dean of Division (DD). In this capacity, the position willprovide high-level financial, policy, and administrative support tothe SSA, DD, and divisional leadership (chairs, directors andbusiness managers). This position is primarily responsible foroversight and policy related to divisional operations, includingadministrative, financial, and program management. This positionplans and implements multi-month and academic year-long strategicprojects, in consultation with the SSA and DD. This position willapply knowledge and interpret principles, rules, regulations,policies, precedents, and other guidelines specific to the Collegeof Arts and Sciences, the University of Colorado Boulder, and theState of Colorado in order to analyze needs, resolve problems,answer questions, and provide information.

What Your Key Responsibilities Will Be

Administrative and Project Management

  • Twice-yearly teaching plan verification and synthesis to ensurethe division is sending accurate funding for faculty leaves andreplacements, as well as approved temporary funding requests todepartments. Works and communicates with A&S Budget Office,SSA, DD, and departments throughout this process.
  • Works with SSA on enrollment and waitlist monitoring andanalysis through enrollment periods, and conducts outreach todepartments, A&S Curricular Affairs, and the Registrar’s Officeto problem-solve as needed
  • Supports SSA and DD with data acquisition and analysis forongoing and ad hoc divisional projects, working with A&S BudgetOffice, Office of Data Analytics, and others as needed.
  • Responsible for pilot project implementation support for SSAand DD as needed.
  • Serves as scheduling coordinator for divisional courses,working with A&S curricular affairs and the registrar’s officeas needed.
  • Serves as HR Liaison for the SSCI Admin org (e.g., tasks suchas submitting hiring spreadsheets/requests for divisional hires,payroll management for divisional positions, etc)

Department support

  • Translates between A&S subject matter authorities anddepartment leadership to assist with knowledge transfer, strategicgoal alignment, and communication; may provide troubleshootingsupport on those topics in addition to SSA’s work on thisfront.
  • Provide guidance and serve as a resource for dept businessmanagers in the areas of finance processes, divisional/A&S/University policies, and collaborating with department businessmanagers in troubleshooting nonstandard situations.
  • Liaise/connect dept business managers with A&S BudgetOffice, FSC, procurement, and college and centralizedoffices/services
  • In collaboration with A&S staff affairs, assistsdepartments in identifying and securing coverage during staffinggaps (leaves, resignations, etc.). This may include temporarydirect assistance to departments during short-term, high-impact,times of need.
  • Work with A&S staff affairs to support divisional staff:Identify development, training, and other resources to ensuredepartment staff and leadership, and college leadership have toolsto support staff meet expectations. Works in close collaborationwith A&S staff affairs to support staff recruitments in thedivision and participates in search committees for divisionalbusiness manager positions.

Faculty Research related

  • Assists with pre and post award support for departments in SSCIand works with A&S research manager to ensure that faculty andbusiness managers can move through the pre and post award processesefficiently.
  • Works with the Office of Contracts and Grants, CampusController’s Office, and departments when questions arise regardinggrant and fellowship opportunities and implementation ofawards.

Finance

Fiscal & Business Operations

  • Responsible for fiscal duties for SSCI admin org 11317, closelyaligned with A&S budget director. This includes fiscaloversight for divisional programs and initiatives including StudioLab, Social Justice Scholars, Divisional and Catalyst Grants, amongothers. Provides ad hoc reports from PeopleSoft, Cognos, etc. whenrequested by SSA and DD.
  • Analyzes business operations for programmatic and fiscalefficacy and implements changes.
  • Liaises with related campus administrative offices includingOffice of Contract and Grants, Campus Controllers Office, HRService Center, Bursars Office, etc., to ensure all policies andprocedures are followed.
  • Budget
  • Ensures compliance with approved budgets and policies,procedures, rules and regulations.
  • Analyzes demand and prepares budget projections for divisionalprograms and initiatives, and instructional funds, and handles therelated budget.
  • Expenditures
  • Review expenses regularly, authorizes accounts payablevouchers, purchase orders, transfer of funds forms, etc. for theFinancial Service Center (FSC)
  • Provides revenue and expense tracking, analysis, and makesrecommendations on a regular basis to monitor the resourcesavailable for ongoing operations and special projects.
  • Provide oversight for all accounting, purchasing and payrollfunctions to ensure compliance with approved budgets and policies,procedures, rules and regulations.
  • Initiates payroll corrections, runs reports in HCM asneeded.

General Administrative Support

  • Develops and maintains an academic year calendar ofevents/programs and regularized communications to promote communityin the division, seeking feedback, assessing success, and iteratingto improve outcomes.
  • Works with SSA and DD on communications planning and implementscommunication strategies for SSCI leadership, as well as broadcommunications to all faculty, staff and students in thedivision
  • Supports SSCI Fellows and Faculty Directors with administrativesupport.
  • Proactively works together with the DD and SSA to supportimplementation of short- and long-term divisional equity andinclusion projects that require significant management, analysis,or research to attain success.
What You Should Know
  • This position is in-person, eligible for hybrid, with a workschedule of M-F 8am-5pm
  • This can be subject to change based on the business needs ofthe division and to align with A&S college policy
  • Employee may need to be on campus up to 5 days a week duringthe initial training period
What We Can Offer

This full-time position offers an annual salary range of$65,000–$80,000. The final salary will be based on the candidate’sexperience and qualifications and is subject to review by theCampus Position Management Consultant.
